Office Administrative Assistant

Key responsibilities:
  1. Office Needs Management: Manage all aspects of office needs, including maintaining inventory, managing vendor relationships, and coordinating seasonal landscaping.
  2. Health and Safety: Actively participate as a member of the Joint Health and Safety Committee.
  3. Management Committee Expenses: Process and manage expense reports, reconcile receipts, verify approvals, and resolve discrepancies.
  4. Travel Arrangements: Coordinate and book travel for the Management Committee, ensuring compliance with policies and budgets.
  5. System Support: Serve as the primary contact for Concur and Egencia systems, providing training, troubleshooting, and ensuring compliance.
  6. Meeting and Event Setup: Prepare and execute meetings, town halls, and events, including logistics, equipment, and catering.
  7. Vendor Communication: Manage communication with external vendors and resolve inquiries or issues.
  8. Team Communications: Disseminate internal information, announcements, and reminders.
  9. Employee Events: Plan and execute events like BBQs and holiday parties in collaboration with HR, adhering to budgets.
Qualifications and skills:
  • High school diploma required; associate or bachelor's preferred.
  • Minimum 5 years of administrative support experience.
  • Experience supporting senior leadership is desirable.
  • Knowledge of office operations, vendor management, and event planning.
  • Familiarity with expense and travel systems (e.g., Concur, Egencia) is a plus.
  • Strong organizational, communication, multitasking, and Microsoft Office skills.
  • Effective budget management, vendor relations, problem-solving, and customer service skills.
  • Ability to work independently and collaboratively.
