Office Administrative Assistant

Key responsibilities:
  • Office Needs Management: Manage all aspects of office needs, including maintaining inventory of supplies, managing vendor relationships, and coordinating seasonal landscaping.
  • Health and Safety: Participate as a member of the Joint Health and Safety Committee.
  • Management Committee Expenses: Process and manage expense reports, reconcile receipts, and ensure policy compliance.
  • Travel Arrangements: Coordinate and book travel for the Management Committee, adhering to policies and budgets.
  • System Support: Support and train employees on expense (Concur) and travel (Egencia) systems, troubleshooting issues as needed.
  • Meeting and Event Setup: Prepare and execute meetings, town halls, and events, including logistics, equipment, and catering.
  • Vendor Communication: Act as the primary contact for external vendors, managing communications and resolving issues.
  • Team Communications: Manage internal communications, including event info, announcements, and office updates.
  • Employee Events: Plan and execute employee events, collaborating with HR and adhering to budgets.
Qualifications and skills:
  • High school diploma or equivalent; additional education in business administration or related fields preferred.
  • At least 5 years of administrative support experience, supporting senior leadership preferred.
  • Experience with office operations, vendor management, and event planning.
  • Familiarity with expense and travel systems like Concur and Egencia is a plus.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency in Microsoft Office Suite.
  • Budget management, vendor relations, problem-solving, and customer service skills.
  • Ability to work independently and in a team environment.
