Sales & Marketing Coordinator

We are seeking a motivated Sales & Marketing Coordinator- Bilingual who will provide comprehensive administrative, operational, sales, and marketing support to the Sales & Marketing department. The position serves as a key liaison between Sales & Marketing, internal departments, external vendors, healthcare professionals (HCPs), customers, distribution partners, and other business stakeholders.

The Sales & Marketing Coordinator -Bilingual supports the effective execution of commercial programs, sales activities, meetings, training programs, customer communications, marketing initiatives, and cross-functional projects. The role requires a high degree of organization, attention to detail, professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced pharmaceutical environment.

About the Role

The duties and responsibilities of the Sales & Marketing Coordinator include, but are not limited to, the following:

Sales & Marketing Meeting and Event Support
  • Coordinate logistics for trade shows, conferences, exhibitions, and other events supporting commercial objectives.
  • Support and coordinate sales meetings, training sessions, workshops, and other internal or external events, including in-person and virtual sessions.
  • Assist with the planning and execution of the Annual National Sales Meeting (NsM)
  • Coordinate meetings with customers, healthcare professionals, vendors, and other business partners.
  • Support the planning and execution of Advisory Boards and other customer engagement programs.
  • Coordinate venues, meeting materials, travel, accommodation, suppliers, and other event requirements.
Marketing Support
  • Support the development and implementation of marketing programs or projects based on direction provided by the applicable Marketing Director, Marketing Manager, or other authorized stakeholders.
  • Coordinate marketing projects and monitor schedules, milestones, deliverables, and deadlines.
  • Coordinate with internal stakeholders and external suppliers to ensure timely completion of marketing initiatives.
  • Liaise with distribution partners to support effective distribution of company products and related materials.
  • Support tracking expenses and processing of invoices and provide relevant information to the applicable business-unit or marketing leader.
Sales Support
  • Provide ongoing administrative and operational support to the Sales Leaders and Support sales representatives with administrative and operational requirements
  • Track, monitor, and report on sales activities and supporting initiatives as required.
  • Assist with monitoring and reporting Sales Force expenses.
  • Ensure adequate inventory and availability of approved marketing and sales materials in both English and French, where applicable.
  • Coordinate the distribution of approved sales and marketing materials to field personnel.
New Employee Onboarding & Offboarding
  • Assist HR and Sales Leaders with the onboarding of new Sales Representatives across applicable business units.
  • Coordinate onboarding schedules, documentation, system access, training logistics, and required materials
  • Liaise with internal departments to ensure new employees receive the necessary resources and support.
  • Support off-boarding, including coordinating retrieval of company materials
Customer & Healthcare Professional Support
  • Respond to customer and HCP inquiries professionally by telephone, email, or other approved communication channels in a timely manner and direct inquiries to the appropriate internal resource when required.
  • Assist with customer service activities on an as-needed basis.
  • Escalate customer concerns or complaints in accordance with company procedures.
  • Maintain appropriate documentation of customer interactions where required.
  • As a part of the pharmaceutical company, you are to ensure prompt communication (within 24 hours) of any complaints, including potential adverse drug reactions, to the person responsible as indicated in your training.
  • Other duties as assigned.
Reporting & Continuous Improvement
  • Prepare departmental reports, activity summaries, tracking reports, and presentations as required.
  • Monitor progress against established timelines and deliverables.
  • Identify operational issues, bottlenecks, and opportunities for process improvement.
  • Support the implementation of approved process improvements.
  • Maintain the Marketing Room and the marketing materials stored in the Mail Room in an organized, orderly, and accessible manner, ensuring materials are properly labeled, current, and readily available. Conduct a quarterly review of marketing materials to assess inventory, organization, currency, and condition, and coordinate the removal, replacement, or disposal of outdated or obsolete materials in accordance with company procedures.
Special Projects
  • Support business by working initiatives related to improving brand performance or processes
  • Special projects are identified, work planned and timeline agreed upon in alignment with manager and appropriate team memebers

Education
  • Bachelor's degree in Business Administration, Marketing, Life Sciences, Communications, or a related discipline, or an equivalent combination of education and relevant experience.
Experience
  • Previous experience in sales coordination, marketing coordination, sales administration, pharmaceutical/healthcare, or a related industry is preferred.
  • Experience supporting sales or marketing teams in a regulated environment is an asset.
  • Experience working with CRM systems, preferably Salesforce, is an asset.
  • Experience coordinating meetings, events, vendors, and projects is preferred.
  • Basic proficiency in French language is required
Knowledge & Technical Skills
  • Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook.
  • Experience with Salesforce or another CRM platform is an asset.
  • Strong organizational and project coordination skills.

Working Conditions
  • This is a full-time in-person position based at the company's head office in Mississauga, Ontario
  • The role may involve occasional overnight travel.
  • Occasional evening or weekend work may be required to support meetings, conferences, trade shows, national business meetings, or other business activities.
  • The position requires regular interaction with internal employees, customers, HCPs, vendors, and other external stakeholders.
