Job summary

CI Financial is seeking an administrative assistant to support the DVPs and broader team in our Toronto office. You will handle reports, communications, scheduling, and office operations to keep daily activities running smoothly.

Responsibilities include preparing dealer sales and asset reports, coordinating marketing materials for national events, managing expense reports, and maintaining databases. Strong MS Office skills and teamwork are essential.

Qualifications

  • 1–2 years of industry experience as an administrative assistant.
  • College diploma would be an asset.
  • Securities Industry certifications a plus.
  • Fluent in MS Word/Excel/PowerPoint.
  • Excellent time management and organizational skills.
  • Excellent verbal and written communication skills.
  • Able to work in a team environment.
  • Fluent in English and/or French depending on region.

Responsibilities

  • Provide administrative support to the DVP and team.
  • Prepare dealer sales and asset reports.
  • Answer calls and correspondence.
  • Coordinate marketing materials for national dealer events.
  • Organize promotional items.
  • Complete expense and activity reports for three DVPs.
  • Summarize product and marketing updates.
  • Review and distribute monthly reports to dealer contacts.
  • Maintain contact database.
  • Schedule appointments and meetings.
  • Occasionally attend marketing functions beyond hours.
  • Greet clients and guests.
  • Handle incoming/outgoing mail.
  • Order catering and stock fridge/drinks.

This role provides comprehensive administrative and operational support to multiple DVPs and the broader team, including preparing sales and asset reports, managing communications, maintaining databases, and coordinating meetings and schedules.

The position also supports marketing and business development activities, such as organizing national dealer events, managing promotional materials, preparing updates, and assisting with expense and activity reporting, with occasional participation in after‑hours marketing functions.

What You Will Do
  • Provide complete administration duties assistance to the DVP as well as supporting the team, including some aspects of Business Development Manager role
  • Prepare dealer sales and asset reports
  • Answer calls and correspondence
  • Coordinate marketing materials, speakers, attendees, booths, and presentations for National dealer events
  • Organizing and accountability of promotional items
  • Complete expense reports and assist with activity reports for three (3) DVPs
  • Summarize product and marketing updates
  • Review and distribute monthly reports to key dealer contacts
  • Maintain contact database
  • Schedule appointments and meetings
  • May require attending marketing functions and activities which extend beyond normal office hours
  • Responsible for handling incoming, outgoing, or inter-office calls
  • Greeting clients and guests
  • Sorting incoming mail
  • Ordering catering for events
  • Ensuring the fridge is stocked and drinks are ordered
  • Ordering mailing supplies
What You Will Bring
  • 1-2 years industry experience as an administrative assistant
  • College diploma would be an asset

  • Fluent in computer skills (MS Word/Excel/PowerPoint)
  • Excellent time management and organizational skills
  • Good understanding of administrative and client services
  • Excellent verbal and written communication skills

  • May require attending marketing functions and activities which extend beyond normal office hours

This role follows our in‑office work model and requires employees to be onsite four days per week to support collaboration and business needs.

This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $42,500 to $71,000. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is also eligible for participation in a bonus program. In addition, The Company offers a variety of benefits to eligible employees, including health insurance coverage, wellness programs, life and disability insurance, retirement savings plans, paid leave programs, education-related programs, paid holidays and vacation time, and many others.
