Job Summary

The Sales and Event Administrator plays a key role in supporting both day-to-day sales operations and the seamless execution of events. This position is responsible for managing Free of Charge (FOC) orders, tracking deliveries, and collaborating with supply chain partners to ensure efficient operations. Additionally, the role supports the planning and coordination of in-store and marketing events across internal sales teams, department stores, and Sephora. The ideal candidate is highly organized, proactive, and passionate about the beauty industry, with excellent communication skills and a strong attention to detail and embrace “No task is too big or too small when it comes to creating a more beautiful world.” This position reports directly to the National Senior Sales & Education Manager.

Principal Accountabilities

Responsibilities include but not limited to:

  • Generate and manage Free of Charge (FOC) orders, ensuring accuracy and alignment with company policies
  • Track and monitor FOC orders through the supply chain; proactively resolve any issues that arise
  • Coordinate with suppliers and logistics partners to ensure timely and accurate deliveries
  • Maintain thorough documentation and records related to sales operations and supply chain activities
  • Provide administrative support to the sales team, including shipment processing and delivery tracking
  • Communicate order statuses and expected delivery timelines to internal stakeholders
  • Assist in responding to customer inquiries, managing order changes, and handling special requests

Event Coordination Responsibilities

  • Plan, organize, and execute in store activations and marketing events in collaboration with cross functional teams.
  • Contribute to the development of event concepts, promotional materials, and interactive consumer experiences.
  • Manage all event logistics, including tracking shipments, overseeing event materials, and maintaining accurate inventory levels.
  • Process event-related invoices and assist with budget tracking, reconciliation and reporting.
  • Liaise with Sales, Marketing, and Education teams to ensure alignment on event objectives, timelines, and execution.
  • Maintain and update event calendars, timelines, and post-event recaps to assess performance and ROI.
  • Attend and support events in the field as needed, with occasional travel required.

Qualification and Experience:

  • Degree or diploma in a relevant field (event planning, marketing, business, or related discipline) is preferred; equivalent combination of education and experience will also be considered.
  • Minimum of 1 year of experience in event coordination, or supply chain/logistics support.
  • Experience supporting events in department stores or skincare activations at Sephora is a strong asset.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); experience with project tracking tools is an asset.
  • Sales experience is a plus, but not mandatory
  • Bilingual in English and French is considered an advantage
  • Valid driver’s license and reliable access to a vehicle for travel as needed
