Job summary

CoolITSystems, based in Calgary, Alberta, seeks a Revenue Systems & BI Specialist to own the commercial systems backbone that supports pipeline management, forecasting, reporting, and post-sales visibility.

You will maintain clean workflows, trusted dashboards, and scalable data governance across Sales, Revenue Operations, and Customer Operations, including NetSuite and Salesforce; automate reporting and ensure a single source of truth for leadership.

Qualifications

  • Bachelor's degree in Information Systems, Business, Operations, Analytics, or a related field, or equivalent practical experience.
  • 3-5 years of experience in CRM administration, sales systems, revenue systems, BI/reporting, or commercial operations support.
  • 2-3 years of hands-on experience with NetSuite, Salesforce, or comparable CRM / ERP platforms.
  • Strong reporting and dashboard development capability using built-in reporting tools and/or BI platforms.

Responsibilities

  • Administer CRM/ERP objects, fields, permissions, and page layouts.
  • Maintain opportunity, account, quote, case, escalation, and related workflow structures.
  • Support user access, role permissions, validation rules, and process controls.
  • Troubleshoot system issues and coordinate fixes or enhancements.
  • Build and maintain commercial dashboards for Sales, Revenue Operations, and Customer Operations.
  • Create and manage saved searches, report logic, datasets, and recurring reporting views.
  • Support KPI automation, executive scorecards, and data refresh governance.
  • Improve data usability, readability, and decision support across leadership dashboards.
  • Configure alerts, approvals, field dependencies, and exception notifications.
  • Support sales-to-order and order-to-post-sales handoff workflows.
  • Document system changes, workflow logic, and user guidance.
  • Run recurring data-quality reviews and help correct root-cause process issues.

WHAT YOU'LL DO:

Role:

Reporting to the Director,StrategicOperations, the Revenue Systems & BI Specialist owns the commercial systems backbone that supports pipeline management, forecasting, reporting, order handoffs, and post-sales visibility. This roleis responsible formaintainingclean workflows, trusted dashboards, and scalable data governance across Sales, Revenue Operations, and Customer Operations.

Administer commercial workflows, records, and reporting structures in NetSuite and related systems.

Build andmaintaindashboards, saved searches, automations, and validation controls that improve data quality and business visibility.

Partner with business stakeholders to translate process requirements into scalable system solutions.

Support both pre-sales and post-sales workflows, including opportunity management, handoffs, case visibility, and escalation reporting.

Reduce manual work by automating recurring reporting and alerting wherever possible.

Help ensure that leadership runs the business from one trusted source of truth.

Responsibilities:

CRM / ERP Administration

Own administration of relevant CRM / ERP objects, fields, permissions, and page layouts.

Maintain opportunity, account, quote, case, escalation, and related workflow structures.

Support user access, role permissions, validation rules, and process controls.

Troubleshoot system issues and coordinate fixes or enhancements.

BI, Reporting & Dashboard Architecture

Build andmaintaincommercial dashboards for Sales, Revenue Operations, and Customer Operations.

Create and manage saved searches, report logic, datasets, and recurring reporting views.

Support KPI automation, executive scorecards, and data refresh governance.

Improve data usability, readability, and decision support across leadership dashboards.

Workflow & Automation

Configure alerts, approvals, field dependencies, and exception notifications.

Support sales-to-order and order-to-post-sales handoff workflows.

Implement controls that reduce stale records, missing information, and process drift.

Document system changes, workflow logic, and user guidance.

Data Governance & Continuous Improvement

Run recurring data-quality reviews and help correct root-cause process issues.

Maintain source-of-truth alignment between reporting and operational systems.

Recommend and implement process improvements that strengthen accuracy, scalability, and usability.

Partner with IT and internal stakeholders on integration or enhancement opportunities whererequired.

WHO YOU ARE

Basic Qualifications

Bachelor's degree in Information Systems, Business, Operations, Analytics, or a related field, or equivalent practical experience.

3-5 years of experience in CRM administration, sales systems, revenue systems, BI/reporting, or commercial operations support.

2-3 years of hands-on experience with NetSuite, Salesforce, or comparable CRM / ERP platforms.

Strong reporting and dashboard development capability using built-in reporting tools and/or BI platforms.

Preferred Qualifications

Experience supporting revenue operations, sales operations, customer operations, or post-sales business processes.

Experience in manufacturing, advanced technology, or complex B2B environments.

Experience with workflow automation,approvalrouting, data governance, and role-based permissions.

Exposure to SQL, Power BI, Tableau, or comparable tools is a plus.

Skills
