Job summary

Asset Maintenance Pros is seeking an Operations Leader to oversee daily residential portfolio operations and office functions in Waterloo, Ontario. You will lead property administrators and site staff, coordinate scheduling, and drive cross-functional collaboration across Leasing, Maintenance, Operations, and Resident Services.

Qualifications

  • 3–5+ years of experience in residential property management, leasing administration, operations coordination, or a related field.
  • Previous experience supervising or leading teams is considered a strong asset.
  • Experience within student housing, multi-residential, or high-volume turnover environments preferred.
  • Strong organizational, problem-solving, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail with the ability to prioritize competing deadlines.
  • Intermediate to advanced proficiency in Microsoft Office Suite, particularly Excel.
  • Experience with Yardi Voyager or similar property management software considered an asset.
  • Familiarity with construction, maintenance coordination, inspections, and turnover processes is considered an asset.

Responsibilities

  • Oversee daily operations of assigned residential portfolios and office functions.
  • Provide leadership, guidance, training, and support to Property Administrators and site staff.
  • Assist with scheduling, workload delegation, accountability, and operational follow-up.
  • Support cross-functional collaboration between Leasing, Maintenance, Operations, and Resident Services teams.
  • Identify process improvement opportunities and support implementation of operational efficiencies.
  • Ensure company policies, procedures, and service standards are consistently followed.
  • Support a high-quality resident experience through responsive communication and service delivery.
  • Act as an escalation point for resident concerns and administrative issues.
  • Ensure timely follow-up and resolution of maintenance requests and resident inquiries.
  • Support move-in, move-out, lease renewal, and resident retention processes.
  • Maintain professional relationships with residents, contractors, and internal departments.
  • Promote a customer-first culture across all interactions.
  • Coordinate and oversee unit turnover processes, including inspections, scheduling, cleaning, painting, and readiness verification.
  • Assign, monitor, and track work orders through completion using internal systems.
  • Conduct inspections to identify deficiencies and ensure quality standards.
  • Coordinate contractor access and monitor project progress and completion timelines.
  • Support operational readiness during peak leasing and turnover seasons.
  • Assist with project coordination, turnover tracking, and operational reporting.
  • Maintain accurate records and reporting related to operations and turnover activities.
  • Ensure compliance with procedures, quality standards, and operational requirements.

Coordinate and oversee unit turnover processes, including inspections, contractor scheduling, cleaning, painting, and readiness verification

Assign, monitor, and track work orders through completion using internal systems and Yardi Voyager

Conduct physical inspections of units andcommon areastoidentifydeficiencies and ensure quality standards are met

Coordinate contractor access andmonitorproject progress and completion timelines

Support operational readiness during peak leasing and turnover seasons

Assistwith project coordination, turnover tracking, and operational reporting

Administration & Compliance

Maintainaccuraterecords, documentation, databases, and reporting related to operations and turnover activities

Ensure compliance with company procedures, quality standards, and operational requirements

Support preparation and organization of move-in packages, notices, keys, and resident documentation

Assistwith lease administration, renewals, assignments, notices, and related administrative processes

Prepare reports, spreadsheets, and tracking tools for operational and management review

Support document control and data accuracy across multiple systems

  • 3–5+ years of experience in residential property management, leasing administration, operations coordination, or a related field
