MSC Canada is seeking a Front Desk Representative for Export Documentation to ensure accurate, timely processing of shipping documents. You will support export, import, and foreign-to-foreign activities, manage document control, customer inquiries, and courier coordination, while maintaining strict adherence to procedures.

Qualifications

  • 2 years of experience in a customer service environment.
  • Experience with documentation is an asset.
  • Proficient in Microsoft applications.
  • Experience operating within ERP or Transportation Management systems.
  • Available for structured front desk scheduling from 8:30 a.m. to 5:00 p.m.
  • Bilingual written and spoken (French / English) is an asset.

Responsibilities

  • Attend front desk and assist couriers with document pickup and surrender.
  • Record original import Bills of Lading in the system promptly.
  • Scan export Bills of Lading in and out of the system.
  • Respond to customer inquiries by email and telephone.
  • Process Canada Customs submissions.
  • Enter all front desk documents into systems and notify relevant departments due to time sensitivity.
  • Maintain accuracy when filing and releasing original Bills of Lading.
  • Direct customers to appropriate support channels.
  • Coordinate with departments to forward MSC packages to the correct MSC offices in Canada.
  • Monitor courier supply inventory for front desk and printing teams.

Department Summary

The Corporate Export Documentation Department ensures the accurate, compliant, and timely processing of shipping documentation supporting MSC Canada's export operations. The department manages critical documentation processes, regulatory compliance requirements, document control activities, and customer support functions to facilitate the efficient movement of cargo while maintaining the highest standards of accuracy, security, and service excellence.

Position Summary

The Representative, Export Documentation - Front Desk is responsible for ensuring the accurate and timely processing, control, and distribution of shipping documentation while serving as the primary contact for front-desk operations. This role supports Export, Import, and Foreign-to-Foreign activities through document management, customer service, customs-related processing, courier coordination, and compliance with company procedures, contributing to the efficient and secure flow of documentation across the organization.

Level of Responsibility

Works independently on individual tasks under high supervision. No direct responsibility for guiding others.

Key Tasks
  • Attend the front desk and assist couriers with the pickup and surrender of documents.
  • Ensure all original import Bills of Lading received are accurately recorded in the system in a timely manner to support releasing requirements.
  • Scan export Bills of Lading in and out of the system.
  • Respond to miscellaneous customer inquiries by email and telephone.
  • Process Canada Customs submissions.
  • Ensure all documents received at the front desk (Export, Import, and Foreign-to-Foreign) are entered into the appropriate systems in accordance with procedures and that the relevant departments or individuals are notified immediately due to the time-sensitive nature of these documents.
  • Maintain accuracy and diligence when filing and releasing Original Bills of Lading.
  • Direct customers approaching the front desk to the appropriate support channels.
  • Collaborate across departments to ensure MSC-related packages are forwarded to the correct MSC offices across Canada via courier or as directed by Administration.
  • Monitor and maintain courier supply inventory to ensure the Front Desk and Printing teams have adequate materials for sending Original Bills of Lading and to prevent supply shortages
Skills / Experience

  • 2-year experience in a customer service environment.

  • Specialty in Supply Chain Management or Operations Management an asset.
  • Bilingual written and spoken (French / English) to manage the Front Desk independently.

Le(La) représentant(e) est responsable d'assurer le traitement, le contrôle et la distribution précis et en temps opportun des documents d'expédition, tout en agissant comme point de contact principal pour les opérations d'accueil. Ce poste soutient les activités d'exportation, d'importation et de transport entre pays tiers (Foreign-to-Foreign) grâce à la gestion documentaire, au service à la clientèle, au traitement des formalités douanières, à la coordination des services de messagerie et au respect des procédures de l'entreprise, contribuant ainsi à une circulation efficace et sécurisée des documents au sein de l'organisation.

Travaille de manière indépendante sur des tâches individuelles, sous supervision rapprochée. Acunue responsabilité liés à l'encadrement/la gestion d’une équipe.

Principales responsabilités

Les principales responsabilités sont déterminées par domaine d’intervention et seront adaptées à mesure que les membres de l’équipe acquerront l’expertise technique requise.

  • Assurer la permanence au comptoir d'accueil et aider les coursiers lors de la remise ou de la récupération de documents.
  • Veiller à ce que tous les connaissements d'importation originaux reçus soient entrés avec exactitude et dans les meilleurs délais dans le système, afin de faciliter les procédures de mainlevée.
  • Numériser les connaissements d'exportation pour en assurer le suivi dans le système (entrée et sortie).
  • Répondre aux diverses demandes des clients par courriel et par téléphone.
  • Gérer les déclarations aux douanes canadiennes.
  • Veiller à ce que tous les documents reçus au comptoir (exportation, importation et opérations "étranger à étranger") soient saisis dans les systèmes appropriés conformément aux procédures, et s'assurer que les services ou les personnes concernées en soient informés immédiatement, compte tenu du caractère urgent de ces documents.
  • Faire preuve de rigueur et de précision lors du classement et de la remise des connaissements originaux.
  • Orienter les clients qui se présentent au comptoir vers les services de soutien appropriés.
  • Collaborer avec les différents services pour s’assurer que les plis destinés à MSC soient acheminés vers les bureaux MSC appropriés au Canada, par courrier ou selon les directives de l’administration.
  • Gérer les stocks de fournitures d'expédition (pour coursiers) afin de s’assurer que les équipes de l'accueil et de l'impression disposent du matériel nécessaire à l'envoi des connaissements originaux et d'éviter toute rupture de stock.
