Job Description:

*Recruiting for two (2) Fixed Term Roles for up to 9-Months.

PURPOSE OF POSITION
Accountable for delivering a wide variety of regulatory support to the Market Conduct Division including but not limited to setting up complaint files and sending out acknowledgement letters, reviewing and processing non-complex license applications and applications related to surrendering, transferring, upgrading and terminating of a license, updating/flagging databases, and sending out enforcement letters.


KEY RESPONSIBILITIES

  • Provides regulatory support to the Senior Manager, Business Support Services and the Heads within Market Conduct Division in the delivery of a range of licensing, complaint and enforcement activities.

  • Provides backup administrative support where required.

  • Updating on a regular basis licensing and complaint databases.

    Licensing & Enforcement Support:

  • Reviewing licence applications for completeness of documentation, ensuring compliance with FSRA requirements, updating databases, following up with applicant to clarify and resolve issues, flagging suitability issues, and where required escalating to Licensing Registration Specialist.

  • Issuing renewal licences when required.

  • Processing other applications including licensing name changes, terminations, transfers, upgrades, withdrawals and surrendering licenses.

  • Coordinating with Finance to process refunds and chargebacks to applicants.

    Complaint/Compliance Support:

  • Managing the MC-COMPLAINTS inbox, RightFax, Digital Mail Room and coordinating with the Contact Centre to review all incoming complaints to ensure no duplication of complaints filed.

  • Setting up complaint files and sending acknowledgement letter to complainant prior to assignment to a Compliance Officer.

  • Preparing and processing correspondence in collaboration with the appropriate area (MPP, CEO & Ministry).

    Enforcement Support:

  • Preparing, processing and sending out non-filer and enforcement letters (SAMPS, AMPS, suspension directives etc.) to public related mortgage, HSP and AIRS.

  • Updating relevant databases and maintaining a tracking system to monitor and follow up on the delivery and non-delivery of letters to report back to the involved area (MCD, LLAT, Legal and Finance).

  • Identifying the need for and recommending the modification of various administrative systems, processes, and procedures to support business and project needs to enhance operational efficiencies.


QUALIFICATIONS
Education and Experience

  • Degree/Diploma in a related field or equivalent experience.

  • Minimum 3 years of administrative assistant experience.


Knowledge and Skills

  • Knowledge of general office administrative protocols.

  • Analytical skills to monitor and ensure the integrity of division administrative records, databases, and tracking systems; to identify and resolve division regulatory issues, or develop effective solution recommendations for the Senior Manager, Business Support Services.

  • Writing, proof reading, and editing skills.

  • Strong organizational skills and the ability to work with minimal supervision; to be self-directed, to take initiative without direction, and to use time efficiently by effectively prioritizing work.

  • Ability to tactfully communicate with various levels of the organization to request or provide information.

  • Ability to maintain confidentiality of sensitive and highly confidential information.

  • Strong attention to detail, organization and time-management skills and the ability to stay on task in a fast-paced environment with the ability to take immediate, effective action in high-pressure situations.

  • Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams) and other internal applications, as required. Knowledge of database systems.
