Job summary

ISSofBC - Immigrant Services Society of BC is seeking a part-time Registrar for the Language and Career College (LCC) in Vancouver. The role involves registering students into ESL and vocational programs, conducting intake assessments, advising on courses, and managing transfers, refunds, and student concerns.

The position requires a certificate or diploma in office administration and two years of related experience; a second language is a plus.

Qualifications

  • Completion of a certificate or diploma in office administration, business or related discipline and two (2) years recent related experience.
  • Fluency in a second language is an asset (Spanish preferred)
  • Excellent customer service skills and computer abilities (MS Office).
  • Demonstrated marketing skills and administrative abilities.
  • Willing to work flexible hours; evening and weekend work may be required.
  • Demonstrated cultural competency and commitment to working effectively with diverse populations.
  • Possession of and the ability to maintain a clear provincial Criminal Record Check.

Responsibilities

  • Register students into LCC ESL and vocational training programs; perform intake assessments; advise students on appropriate courses; handle course transfers, refunds, and student concerns; update and maintain files; implement marketing and promotional plans for attaining targeted enrolment.
  • Respond to student enquiries in person, and by telephone, email and social media, and ensure that suitable applicants are given all relevant information and reasonable accommodation of individual circumstances to facilitate their registration.
  • Register students for courses and arranges course transfers, keeping enrolment numbers in mind.
  • Conduct intake assessment of potential students. Track the completion of pre-requisite courses.
  • Ensure students are aware of school policies affecting them.
  • Collect tuition fees; issue receipts and tax forms; calculate and process refunds for students; complete daily payment receipts summary and batch reports.
  • Monitor online registration and seat availability, maintains waitlists, and schedules classes with weekly, monthly, and bi-monthly intakes.
  • Provide prospective and current students with counselling about Student Aid BC and LCC’s programs.
  • Update course information on the LCC website and social media (e.g. Google ads, Facebook ads, etc.) as well as creating physical posters aimed at attaining enrolment targets.
  • Assist the Senior Manager and Instructional Coordinator to plan new courses and creating marketing materials and promotional activities to attain enrolment targets.
  • Resolve student concerns and problems, in a manner consistent with LCC policies as set forth by the PTIRU, or other relevant governing bodies, to ensure full compliance with institutional standards.
  • Suggest improvements in the online student database, surveys and student evaluations; coordinate LCC’s participation in information fairs and trade exhibits.
  • Troubleshoot minor technical issues and refer to IT support when necessary.
  • Build and maintain positive relationships with ISSofBC staff, current and prospective students, and visitors.
  • Keep informed of current and upcoming LCC programs and services.
