Job summary

Bird Construction in Canada is seeking a Recruitment Administrator to support the Talent Acquisition team through the full recruitment lifecycle. You will coordinate interviews, post opportunities, and manage candidate communications to ensure a positive experience for applicants and hiring teams.

This role requires 1–3 years of admin experience, familiarity with ATS/HRIS such as Workday, and a knack for organization and discretion.

Recruitment Administrator

The Recruitment Administrator provides administrative and coordination support to the Talent Acquisition team throughout the recruitment lifecycle. This role is responsible for scheduling interviews, managing candidate communications, maintaining recruitment records, posting job opportunities, and ensuring a positive candidate experience. The Recruitment Administrator works closely with hiring managers, recruiters, and candidates to support the timely and efficient hiring of skilled trades, field, and corporate personnel for construction projects and office operations.

What You Will Be Working On

Recruitment Coordination

  • Coordinate and schedule interviews between candidates, hiring managers, and interview panels.
  • Send interview invitations and candidate communications.
  • Assist with candidate screening activities as directed by recruiters.
  • Support hiring managers and recruiters throughout the recruitment process.
  • Monitor recruitment inboxes and respond to candidate inquiries.

Job Posting & Applicant Tracking

  • Create and post job advertisements on internal and external job boards.
  • Maintain and update requisitions within the Applicant Tracking System (ATS).
  • Track candidate applications and recruitment activities.
  • Ensure candidate records are accurate, complete, and updated.

Candidate Experience

  • Serve as a primary point of contact for candidates during the recruitment process.
  • Provide timely updates to candidates regarding interview schedules and hiring decisions.
  • Assist with the preparation and distribution of offer and onboarding documentation.
  • Ensure a professional and positive candidate experience.

Administrative Support

  • Prepare recruitment reports, metrics, and hiring summaries.
  • Maintain confidential recruitment and employee information.
  • Process background checks, reference checks, and pre-employment testing as required.
  • Assist with onboarding coordination for new hires.
  • Support career fairs, recruitment events, and workforce planning initiatives.

Compliance & Documentation

  • Ensure recruitment activities comply with company policies and employment legislation.
  • Maintain accurate recruitment files and documentation.
  • Support audit requirements and record retention standards.
  • Assist with employment and immigration documentation where applicable.
What We Are Looking For

Education

  • Diploma or certificate in Human Resources, Business Administration, Office Administration, or a related field.
  • CPHR designation or progress toward designation is considered an asset.

Experience

  • 1–3 years of administrative experience, preferably in recruiting, talent acquisition, human resources, or construction.
  • Experience supporting high-volume recruitment environments is an asset.
  • Experience working with Applicant Tracking Systems (ATS) and HRIS platforms such as Workday is preferred.

Knowledge & Skills

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Strong customer service and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Experience coordinating interviews and recruitment logistics.

Preferred Qualifications

  • Experience supporting recruitment within construction, industrial, civil, or engineering environments.
  • Familiarity with hiring skilled trades, project management, and corporate support positions.
  • Knowledge of employment standards and recruitment best practices.
  • Experience with onboarding and pre-employment screening processes.
