Job summary

Fidelity Canada seeks a Records Management professional to support enterprise RIM governance, retention, and data lifecycle across physical and digital repositories. The role collaborates with business units to classify records and enforce policies while improving visibility into governance metrics.

The candidate will bring 3+ years in records management, experience with M365/SharePoint, and comfort working in a regulated financial services environment.

Qualifications

  • College degree or equivalent experience in records management or information governance.
  • 3+ years of records management or related field in a regulated environment.
  • Hands-on with records retention, lifecycle management, and data privacy.
  • Experience with enterprise systems such as M365/SharePoint.
  • Familiarity with regulatory audits and vendor management is an asset.

Responsibilities

  • Support the development of the enterprise RIM Framework and governance structures.
  • Support enforcement of Records & Information Management policies and retention procedures.
  • Maintain and enhance the Records Retention Schedule and classification frameworks.
  • Review business unit practices for retention, storage, and destruction compliance.
  • Classify records by sensitivity, confidentiality, and business value.
  • Map data flows, repositories, and storage locations for traceability.
  • Coordinate secure retention, archival, and destruction across repositories.
  • Deliver training and awareness programs on RIM policies and tools.
  • Develop metrics and dashboards for leadership.

You will be working on a flexible hybrid schedule as part of Fidelity’s dynamic working arrangement.

The work location for this role is 483 Bay Street in Toronto until approximately late 2026, when the work location will change to the new Mississauga office at 3 Robert Speck Parkway.

Current work authorization for Canada is required for all openings.

How You’ll Make An Impact
  • Support the development of the enterprise RIM Framework and Program, including governance structures, operating model, control environment, and multi-year maturity roadmap aligned to Fidelity International and relevant regulatory and legal requirements.
  • Support the implementation and enforcement of the Records & Information Management Policy, Data Classification Standard, and retention/disposition procedures.
  • Maintain and enhance the enterprise Records Retention Schedule (RRS) and classification frameworks to ensure consistency and compliance.
  • Conduct periodic reviews of business unit practices to ensure adherence to retention, storage, and destruction requirements.
  • Work with business units to classify records based on sensitivity, confidentiality, regulatory requirements, and business value.
  • Map data flows, repositories, and storage locations to ensure traceability and lifecycle control.
  • Coordinate secure and compliant retention, archival, and destruction activities across physical and electronic repositories.
  • Act as a trusted advisor to business units on records management practices and tools.
  • Oversee third-party providers (e.g., physical and digital archiving solutions) to ensure service quality and compliance.
  • Deliver training and awareness programs on RIM policies, tools, and best practices.
  • Develop and maintain metrics, dashboards, and reporting (KPIs/KRIs) for leadership.
What We Are Looking For
  • College Degree (3-year program) or equivalent working experience
  • 3 + years of experience in records management, information governance, data privacy, or related field.
  • Hands-on experience with records retention and disposition framework, records lifecycle management (physical + digital), enterprise systems (M365, SharePoint, records repositories)
  • Experience supporting regulatory compliance and audit activities
  • Experience with data governance or privacy programs is an asset
  • Financial services or regulated industry environment is an asset
  • Exposure to vendor management (e.g., physical and digital archiving solutions) is an asset

  • Solid understanding of data flows, technological environments, and operational processes
  • Experience with enterprise content and records management systemsUnderstanding of legal/regulatory requirements related to information governance.

  • Base Salary and Discretionary Performance Bonus Total annual cash compensation (base salary plus target bonus) ranges from $85,000 to $101,000, based on experience and qualifications.
