Job summary

The Halton Children’s Aid Society is seeking a Records Management Coordinator to organize the Society’s paper and electronic records. Reporting to the Senior Manager, Legal Services, you will coordinate records systems and support information governance across departments.

You will create policies and procedures for records management, ensure lifecycle management of information assets, and contribute to ongoing improvement while handling confidential data with professionalism and accuracy.

Qualifications

  • Secondary School Diploma required or equivalent; Office Administration Diploma considered an asset.
  • Strong analytical and problem solving skills.
  • Excellent oral and written communication skills.
  • Excellent computer skills with proficiency in Microsoft Office, knowledge of CPIN and CPIN searching.
  • Ability to maintain confidentiality is essential.

Responsibilities

  • Coordinates the records management system for paper and electronic records.
  • Works with Supervisor to implement Policies and Procedures for records management.
  • Identify and improve lifecycle management of information assets.
  • Collaborate with departments on records and information management.
  • Follow a corporate records classification system for electronic and paper records.
  • Create support and guide documents for the role.
  • Provide administrative support to Supervisor.
  • Organize and design the historical records file room.
  • Digitize and migrate content into CPIN.
  • Perform CPIN person searches and identify correct records.
  • Identify, mark and merge duplicate person records in CPIN.
  • Process initial stages of record requests, including opening Intake Case in CPIN.
  • Prepare files for Disclosure Assistants as needed.
  • Take on other duties related to major responsibilities.

Job Profile

Reporting to the Senior Manager, Legal Services, this position is responsible for the coordination and organization of the Society’s paper and electronic records management.

Main Duties and Responsibilities
  • Coordinates the records management system dealing with both paper and electronic records, and other file types
  • Works with Supervisor to create and implement Policies and Procedures related to records management
  • Identifies and recommends procedures for continual improvement of the effective life-cycle management of the Society’s information assets
  • Works with departments on the management of their records and information
  • Follows a corporate records classification system for both electronic and paper records
  • Creates support and guide documents related to the position.
  • Provides administrative support to Supervisor
  • Designs and organizes the historical records file room.
  • Digitizes and migrates content into CPIN
  • Completes person searches in CPIN and identifies appropriate person record for use in case
  • Identifies, marks and merges duplicate person records in CPIN.
  • Receives and processes initial stage of record requests, including opening Intake Case in CPIN
  • Prepares files for Disclosure Assistants as required
  • Performs other duties as assigned which are directly related to the major responsibilities of the position.

Halton CAS has a vaccination policy and procedure in place. As a condition of employment, new employees are required to be vaccinated for COVID-19 unless they have a valid reason not to be vaccinated based on a protected ground under the Ontario Human Rights Code.
