Accountability & Objective

Our Receptionists are the heart of our community – they are our guest experience ambassadors! Welcoming guests into our community with a smile, setting the tone for their experience, and providing exceptional customer service are core to this role. Under the direction of the Office Manager, you will provide administrative support, including clerical and reception duties, to ensure the efficient operation of the residence.

Background/Qualifications
  • Minimum of grade 12 education required.
  • Minimum two years experience in a receptionist or clerical role within a hospitality setting is considered an asset.
  • Basic bookkeeping experience is preferred.
  • Proven typing and general office administration skills.
  • Effective communication skills, both written and verbal, in English.
  • Ability to work independently with minimal supervision and demonstrate strong problem-solving skills.
  • Proficient computer skills (Microsoft Office Suite, Word, Excel).
  • Demonstrated multi-tasking abilities and the capacity to work well independently and in a team environment.
  • A resident-oriented individual whose values align with those of the residence.
Key Responsibilities
  1. Participate in and adhere to continuous quality improvement standards.
  2. Greet residents and visitors warmly; answer and direct phone calls professionally.
  3. Manage office supplies and inventory.
  4. Handle inquiries, including marketing calls, directing them appropriately.
  5. Coordinate with the Marketing department for resident move-ins, including welcome packages, orientation, and key allocation.
  6. Provide clerical support to management and staff (data entry, photocopying, filing, etc.).
  7. Monitor security by managing incoming and outgoing residents, guests, and visitors.
  8. Maintain a tidy reception area.
  9. Manage mail and deliveries, ensuring proper paperwork.
  10. Record and store lost property.
  11. Track guest meals and revenue from services and events.
  12. Communicate effectively with residents, families, staff, and the public.
  13. Assist with setting up and taking down programs and events as needed.
  14. Create and distribute daily resident census reports.
  15. Maintain contact lists (residents, emergency contacts, families).
  16. Ensure effective communication with coworkers and supervisors.
  17. Perform other duties as assigned.
  18. Follow all policies and complete mandatory training.
  19. Participate in health and safety programs, including fire drills and hazard reporting.
