A leading company in the retail marketing industry is seeking a Full-Time Office Admin/Receptionist for its Head Office. This role is crucial for ensuring a smooth working environment and providing a professional first impression to visitors. DESCRIPTION
What are we looking for?
Mosaic is currently looking for a Full-Time Office Admin/Receptionist to join our team based out of our Head Office location.
What will you do?
As an Office Administrator , you will ensure smooth, secure operation of the Head Office as it relates to working environment, equipment and office practices. To deliver a positive first impression which reflects Acosta's values/culture to all visitors as well as new employees. Provide a primary point of contact and expertise for arriving visitors and residents of our facility.
RESPONSIBILITIES
Reception:
Greet and manage all arrivals & departures from the office with a high degree of professionalism and awareness
Receipt and distribution of Canada Post mail and faxes
Maintain Boardroom Calendars
Maintain Storage room to standard
Health and Safety awareness
Follow Facility Process Checklist
Manage building Access Cards and Parking Badges
Place bi-weekly office supplies order and process monthly invoice reconciliation
Maintain AV / Projector bookings
Support with meeting/training catering requests
Support Shipping & Receiving as needed
Support in maintenance of office equipment, including repair requests with supplier
Participate in identifying and setting up process improvements
Participate in researching and documenting policy and process changes
Maintain standards for overall reception practices
Maintain facility supplies replenishment
Maintain cleanliness standards and order for all office facilities
Other duties assigned by Office Manager from time to time
QUALIFICATIONS
Qualifications:
Strong written & verbal communication skills
Proficient user of Microsoft Office & interest in other software tools
Significant strength in the area of organization and time management
Self-motivated to perform a broad variety of organizational and administrative tasks within a day and exhibit initiative to do what is necessary to produce quality results
