Job Summary
The purpose of this position is to take horse entries for the race card, ensuring the accuracy of race information, confirming eligibility, applying applicable Alcohol and Gaming Commission of Ontario regulations, and communicating with owners and trainers. This role also involves the organization and filing of official foal papers.
Key Responsibilities
- Take horse entries from trainers/owners via telephone or face-to-face, confirm race details from the condition book, print, and obtain trainer authorization. Ensure foal papers are confirmed and filed after signing off.
- Verify that entered horses are not on any disqualifying lists and are eligible to race.
- Assign race numbers to horses once draw numbers are established, ensuring all information is accurate.
- Communicate with trainers regarding discrepancies or issues with entries, assist in finding replacements or riders.
- Prepare and distribute an “overnight” listing of race details for stakeholders.
- Analyze past performances to confirm eligibility and compliance with regulations.
- Collaborate with Equibase to generate relevant race data, including jockey, trainer, owner, and performance records.
- Format race information for the IMS race program, input odds, and coordinate printing to ensure clarity and accuracy.
- Send gelding reports to Equibase daily, ensuring data accuracy for industry-wide use.
- Maintain professional relationships with internal departments and external clients, including regulatory bodies.
- Work with the Alcohol and Gaming Commission of Ontario to manage scratches and regulatory compliance.
- File and maintain foal papers, ensuring proper documentation for race participation.

Education and Experience
