Position Overview

The Quality Records Coordinator is responsible for leading daily Quality Records activities, ensuring that code and customer requirements are met, and maintaining effective communication with the project team.

Location: Cambridge, ON, Canada
Your Day‑to‑Day as a Quality Records Coordinator
Records Retention Oversight
  • Take full ownership of scanning and authentication processes, ensuring production orders and reports undergo first and second verifications.
  • Lead issue resolution, identify discrepancies, and refine verification practices to improve record accuracy.
  • Ensure closed NRs are accurately documented and compliant.
  • Optimize sorting and scanning of weld cards to improve efficiency and traceability.
  • Ensure timely return of completed production order drawings to the shop floor.
  • Oversee collection and delivery of production orders, coordinating effectively with the shop floor and team.
  • Review production orders and reports for completeness, accuracy, and proper sign‑offs.
  • Ensure proper closure of production orders, nonconformance reports, reworks, PWHT, and condition reports.
  • Provide accurate nameplate and stamping information to the shop, ensuring compliance.
  • Supply traceability drawings to the shop to support organized record‑keeping.
History Dockets and RT Films
  • Develop and maintain history docket table of contents based on ITP requirements.
  • Prepare comprehensive history dockets for nuclear projects (NDE qualifications, welder qualifications, materials, consumables).
  • Verify completeness of all history dockets.
  • Coordinate transmittals for internal and external reviews.
  • Prepare RT films for shipment or electronic transmission.
Vendor Documents
  • Review vendor documentation for accuracy and compliance.
  • Maintain updated vendor records in the database.
Leadership and Reporting
  • Lead the team to ensure task completion with attention to detail.
  • Track and report history docket KPIs, providing insight into performance metrics.
  • Participate in project meetings, offering expertise in quality records management.
  • Identify opportunities for efficiency improvements and implement solutions.

Required Qualifications
  • College Diploma (Quality Assurance is an asset).
  • 5–10 years of Records Management experience.

  • Proficiency in Microsoft Word, Excel, Outlook, and PDF editing tools.
  • Excellent attention to detail and strong organizational skills.

  • Strong leadership skills.
  • Quality Assurance specialization is desired.

The base salary range for this position in Ontario (CA-ON) at the start of employment is expected to be between $67000 and $84000 per year. However, the base salary offered is based on local job market factors and may vary further depending on factors specific to the selected job candidate, such as job‑related knowledge, skills, experience, and other objective business considerations. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits. Details of participation in these benefit plans will be provided at such time the selected job candidate receives an offer of employment.
