Role Purpose

The QC Administrator is responsible for the administration, organization, and maintenance of 5Blue Process Equipment Inc.’s quality control documentation system. This role ensures that all quality records – inspection reports, weld records, NDE reports, material test reports (MTRs), certificates, non-conformance reports (NCRs), and data books – are accurately captured, organized, tracked, and retrievable in support of ABSA compliance, client requirements, and 5Blue’s quality management system.

The QC Administrator is the backbone of the quality documentation function, enabling QC Inspectors, the QC Manager, and project teams to focus on inspection and quality assurance work while trusting that the documentation infrastructure is accurately maintained. This role requires a detail-obsessed, organized individual who understands that in a regulated pressure equipment fabrication environment, the paper trail is as important as the weld.

Key Accountabilities
Quality Records Management
  • Maintain accurate and current records for all quality documentation across active fabrication projects including weld logs, inspection reports, NDE reports, MTRs, heat treatment records, and dimensional inspection records.
  • Ensure all quality documents are correctly named, numbered, filed, and version-controlled in accordance with 5Blue’s document control procedures and ABSA quality program requirements.
  • Compile and organize quality data books for each fabrication project, ensuring all required documentation is present, complete, and correctly assembled prior to client handover and ABSA final inspection.
  • Maintain the weld register for active projects, tracking weld identification numbers, welder qualifications, WPS assignments, and NDE status for every weld joint.
  • Track the status of outstanding inspection hold points, NDE results, and NCR dispositions on active projects, alerting the QC Manager and project teams to open items.
Material Test Reports & Certifications
  • Receive, review, and file MTRs and material certifications for all incoming pressure-containing materials and components, verifying that documents are complete and match purchase order requirements.
  • Maintain the material traceability register for active projects, linking material heat numbers and certifications to specific components and weld joints in the fabrication record.
  • Coordinate with the Procurement Supervisor and receiving team to obtain missing MTRs and certifications in a timely manner.
  • Identify and flag MTR discrepancies, missing certifications, or non-conforming material documentation to the QC Manager for resolution.
Non-Conformance Report (NCR) Administration
  • Issue, track, and close NCRs in accordance with 5Blue’s non-conformance management procedure, maintaining an accurate NCR log for all active and closed projects.
  • Distribute NCRs to responsible parties for disposition and corrective action, following up on overdue closures with the QC Manager.
  • Maintain records of all NCR dispositions, engineering concessions, and corrective and preventive actions (CAPAs) for audit and trend analysis purposes.
Welder Qualification & Procedure Records
  • Maintain current and accurate records of all welder qualifications, procedure qualification records (PQRs), and welding procedure specifications (WPSs) used in 5Blue’s fabrication program.
  • Track welder qualification expiry dates and notify the QC Manager and Production Manager of upcoming renewals in advance.
  • Maintain a current welder continuity log demonstrating active use of qualified welding processes in accordance with ASME Section IX requirements.
  • File and distribute new or revised WPS and PQR documents to the shop floor and project quality files in a timely manner.
ABSA & Client Audit Support
  • Prepare quality documentation packages for ABSA authorized inspector visits, client quality audits, and internal QMS audits, ensuring all records are organized, accessible, and complete.
  • Assist the QC Manager with the preparation of ABSA registration submissions, data reports (CRN packages), and manufacturer’s data reports as required.
  • Maintain the ABSA registration log, tracking CRN numbers, design registration status, and ABSA inspector witness point scheduling.
  • Respond to documentation requests from clients, ABSA inspectors, and third-party inspectors promptly and professionally.
Continuous Improvement
  • Identify opportunities to improve quality documentation workflows, filing systems, and record completeness processes.
  • Contribute to the development and updating of quality forms, checklists, and documentation templates used by the QC team.
  • Provide regular reporting to the QC Manager on documentation status, open NCRs, and outstanding quality records for active projects.
Qualifications & Requirements
Required
  • Post-secondary diploma or certificate in Quality Management, Engineering Technology, Business Administration, or a related field.
  • Minimum 2–4 years of quality administration, document control, or records management experience in a fabrication, engineering, or industrial manufacturing environment.
  • Familiarity with weld records, MTRs, NDE reports, and quality documentation in an ASME or pressure equipment context is a strong asset.
  • High degree of accuracy and attention to detail in document management and data entry.
  • Strong organizational skills and ability to manage high volumes of quality records across multiple concurrent projects.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and document management platforms.
Preferred
  • Experience in a QC administration or document control role in an ABSA-regulated pressure vessel fabrication or oilfield services environment.
  • Experience operating within ISO quality management systems and performing ISO Internal Audits.
  • Familiarity with ASME Section VIII, Section IX, and ABSA quality program documentation requirements.
  • Knowledge of NDE methods (RT, UT, PT, MT) and their associated documentation requirements.
  • Experience maintaining weld registers, welder continuity logs, and WPS/PQR documentation files.
  • Working towards a Quality Management certification (CQA, CQI, or equivalent) is an asset.
Working Conditions

This role is primarily office-based in Edmonton, Alberta, with regular interaction with the fabrication shop for document collection, inspection record follow-up, and coordination with the QC Inspector team. Standard business hours apply, with occasional flexibility during project close-out or ABSA inspection periods.

Compensation

Competitive compensation commensurate with experience. Details to be discussed during the selection process.
