Job description

ROLE DESCRIPTION

Reporting to the Project Manager, the Purchasing Coordinator is responsible for project procurement for all assigned projects (and others as distributed), brand standard orders, and vendor management as it relates to the category.

CORE FUNCTION

  • All project purchasing focused on order accuracy, logistics, timing, and delivery
  • Stakeholder management (internal & vendors) relating to the purchasing process and specific to allocated project tasks
  • Quality control and documentation of vendor-produced goods and packing to ensure product delivers to site for seamless execution of installation

DETAILS OF FUNCTION

  • Manages day-to-day project purchasing tasks, ensuring order accuracy, timing, and delivery, including issuing purchase orders, tracking vendor payables in Salesforce, and resolving order issues for assigned projects.
  • Coordinates and ensures the execution and accuracy of all project-related orders.
  • Maintains strong vendor relationships through clear communication of order details, expectations, special instructions, logistics, packing/crating requirements, and insurance needs.
  • Collaborates with project teams to support a seamless purchasing process and successful project delivery; assists Project Management as needed with installation coordination, communication, and order status updates.
  • Maintains accurate procurement documentation, including all shipping and logistics records.
  • Supports the Project Manager with RFQs by interpreting design intent and translating it into precise technical specifications for internal teams and vendors.
  • Processes standard orders in alignment with brand standards.
  • Translates technical artwork specifications and communicates with vendors to ensure order accuracy.
  • Assists the Project Manager in organizing and managing the flow of client information and tracks project data within FBFA systems.
  • Coordinates with vendors and fabricators on quoting, sampling, and value engineering (VE) exercises.
  • Reviews specification packages to ensure complete and accurate documentation.
  • Actively participates in daily scrums, project team meetings, and other relevant discussions.
  • Performs other related duties as assigned.

TIME ALLOCATION

  • Project Purchasing (purchasing, RFI preparation): 70%
  • Specification Development & RFQ Support: 15%
  • Sampling Management (sample requests, vendor/client coordination, sample POs): 15%

ADDITIONAL NOTES

  • Excellent written and verbal communication skills
  • Team player, and collaborator
  • Process driven and high attention to detail

SKILLS & TOOLS

  • Proficient with MS Suite (particularly Excel)
  • Experience with Salesforce is a bonus
  • Familiarity with Asana or similar project management platforms
