Capstone Project Solutions is seeking a Proposals, Bids & Grant Writer to enhance their team in Dartmouth, Nova Scotia. This role involves researching grant opportunities and developing compelling proposals while closely collaborating with project management and stakeholders. The ideal candidate will have a Bachelor's degree and at least 3-5 years of relevant experience, demonstrating strong writing and research skills.

Capstone’s team is expanding, and we have an exciting opportunity to join our team. Reporting to the Director, Engagement & Corporate Communications, this role involves finding proposal and grant opportunities, developing polished procurement proposals, and aligning efforts with Capstone’s business development strategy. This includes researching opportunities, drafting grant requests, and managing the submission process.
As a Proposals, Bids & Grant Writer, you will contribute to every aspect of our process—screening, selecting, and developing responses for grants, RFPs, and other opportunities aligned with Capstone’s strategic objectives. You’ll work closely with internal and external stakeholders, including senior leadership, project managers, business analysts, change managers, and subject matter experts (SMEs).

Scope of Work
The selected Proposals, Bids & Grant Writer will be responsible for:
Grant Application Writing:
• Understand Capstone’s history, structure, strategic objectives, programs, and financial needs.
• Research grant opportunities from government and non-government agencies.
• Draft grant proposals and supporting documents tailored to Capstone’s funding requirements.
• Coordinating grant submissions and ensuring compliance with funder requirements.
• Provide regular updates on grant submissions and opportunities to the C-suite team.
• Maintaining accurate records of grant submissions and awarded funding.
• Prepare interim reports for awarded grants and track grant spending.
• Ensure compliance with funding requirements and coordinate with program staff to meet deadlines.
• Maintain grant deadlines, program trackers, and data within Capstone’s database.
• Foster positive relationships with fund providers and stakeholders.
• Respond to queries about drafted and submitted proposals.
• Submit reports related to grant opportunities.
• Other duties as required
Proposal Writing:
• Review bid portals and select and select opportunities for response that match team skills, experience and Capstone’s strategy for growth and engagement.
• Follow approved process and used branded templates to develop, write, and edit high quality material for proposals, reports, and briefings.
• Conduct quality control checks to ensure compliance with RFP requirements and criteria.
• Collaborate with project management, business analyst teams, and SMEs to gather information and create accurate, persuasive proposals ensuring content accuracy
• Write proposal sections according to prescribed outlines and RFP formats.
• Proofread and edit documents for style, consistency, grammar, and syntax.
• Utilize existing source files and research to develop technical, management, and performance-related sections.
• Maintain information databases and boards to reflect up to date information
• Incorporate feedback from review cycles to refine proposals.
• Work with SMEs and graphic artists to develop visual aids, such as process flowcharts and diagrams. Creating supporting documentation may be an independent requirement.
Qualifications
The ideal Proposals, Bids & Grant Writer will have:
• Bachelor’s Degree in English, business, communications, or a relevant field. An equivalent combination of education, skills and experience may be considered.
• 3-5 years’ proven experience in grant writing, prospect research, general fundraising, or comparable and transferable skills acquired in a professional setting.
• 3-5 years’ proven experience in Proposal Writing.
• Proficiency with Microsoft Office Suite and familiarity with proposal management software.
• Proficiency with Microsoft SharePoint and teams as workflow management systems.

• Proven ability to work closely with multi-functional teams to develop a customer-specific proposal strategy
• Superior attention to detail
• Proven ability to write succinctly and distill complex ideas into simple and persuasive written content
• Ability to deliver high-quality proposals within tight deadlines, ensuring all client requirements and specifications are met
• Proven ability to work collaboratively and effectively across teams with competing needs
• Experience working in a small, hands on, team-oriented, collaborative environment
