Job description

Are you a highly organized professional with a knack for managing details, timelines, and projects? Do you take pride in supporting impactful work behind the scenes? Chartwell is seeking a Property Management Coordinator to join our collaborative and purpose-driven Property Management team. In this role, you’ll contribute to the safety, functionality, and sustainability of our residences across Canada, helping make people’s lives better through well-maintained homes.

What You’ll Do

  • Coordinate logistics and scheduling for various construction and renovation projects, including third-party service providers and internal stakeholders.
  • Assist with tracking purchase orders, project invoices, and capital spend to ensure adherence to budgets and compliance standards.
  • Prepare and maintain documentation, audit records, and shared project files for the Property Management team.
  • Support the preparation of training materials and reports related to property management operations and project progress.
  • Help with emergency response coordination and other special assignments to support operations.
  • Draft and manage shortform and CCDC contracts to support project execution.

What You’ll Bring

  • Experience: Minimum 2 years in a coordination, project support, or administrative role — ideally related to construction, real estate, or facilities management.
  • Education: College diploma or 5 years of equivalent experience.
  • Technical Skills: Strong proficiency in MS Office (Word, Excel, PowerPoint); familiarity with purchase order systems and capital project tracking tools.
  • Soft Skills: Detail-oriented, self-starter with excellent organizational and time management abilities. Able to prioritize multiple tasks in a fast-paced environment.
  • Communication: Clear and professional communicator, comfortable engaging with multiple internal departments and external vendors.
  • Asset Skills: Bilingualism in English/French, prior experience in the senior living or housing sector, knowledge of construction/maintenance processes.
