The Opportunity: Located in North York, the Property Administrator is responsible for providing support for the day-to-day administrative activities for an office & residential portfolio.

What You Will Do:

Customer Service

  • Deliver superior service and support to residents, fostering a positive living environment.
  • Promptly address resident issues an service requests with professionalism and empathy.
  • Serve as a reliable point of contact for residents regarding inquiries about their suite, building, and community.

Operations/Accounting

  • Manage property management office administration efficiently.
  • Oversee vacancy and arrears management, ensuring timely resolution.
  • Prepare and handle legal forms (N4, N5, etc.) with accuracy.
  • Maintain comprehensive tenant files, including lease agreements, amendments, renewals, terminations, offers to lease, notices, contracts, tenant letters and other documentation.
  • Administer leases, liaise with tenants, and coordinate maintenance management.
  • Accountable for rent collection, cheque posting, and application of payments to tenant accounts.
  • Review monthly recurring billings and process all invoices and related reports within Yardi, ensuring compliance with budget schedules.
  • Maintain PO tracker logs and prepare tenant requisitions for chargebacks.
  • Monitor and track vacant unit utility accounts and ensure all accounts are on PAP.
  • Undertake additional assignments as requested by management, contributing to the overall success of the property management team.

Who You Are:

  • Minimum of three (3) years of experience in residential property management.
  • A high degree of integrity and ethical conduct.
  • Highly organized with an eye for detail and accuracy.
  • Strong ability to meet deadlines and manage time effectively.
  • Adaptable to constant change and extremely punctual and reliable.
  • Ability to handle multiple demands, tight deadlines, and competing priorities.
  • Ability to communicate effectively and professionally, both orally and in writing.
  • Solid analytical skills with the ability to apply logic and reasoning to administrative tasks, projects, and legal/contractual issues.
  • Advanced proficiency using Microsoft Office applications (i.e. Word, Excel, Outlook)
  • Knowledge of the Residential Tenancies Act (RTA) is an asset.
