This role involves preparing rent payments, handling tenant inquiries, and collaborating with internal teams. Role Description
The Property Administrator will report directly to the Property Manager and is responsible for managing the accounts receivable, accounts payable and various other administrative tasks for Marché Central and 9001 l’Acadie.
Responsibilities
Prepare and deposit all rent payments and apply monthly rental cheques to tenant accounts, including posting to Yardi;
Prepare accurate AR reports and inform the Property Manager on AR balances;
Collect outstanding tenant rents and diligently respond to tenant inquiries. Analyze and act on monthly aged receivables report;
Handle account reconciliations and process adjustments as needed ;
Prepare demand letters in compliance with lease terms and follow up with further action when needed;
Collaborate and communicate with Accountants and Lease Administrators on tenant issues and / or changes;
Verify and track tenants' insurance certificates;
Participate in the preparation of contracts related to operations and investments (CAPEX);
Generate miscellaneous invoices / bills;
Print and distribute accrual rental advice notices and year end adjustment notices;
Code AP invoices in a timely manner;
Prepare and process monthly visa statements for Office, Maintenance and Marketing staff;
Respond to vendor inquiries and obtain required documentation to follow up on requests;
Collect tenant sales reports and enter in Yardi;
Prepare purchase orders in Yardi;
Prepare and submit various monthly reports to the Property Manager;
Other related duties as required.
Experience and Qualifications
3 or more years’ experience in a similar role with an accounting and / or bookkeeping focus
Basic understanding of lease interpretation and real estate industry experience would be considered an asset
Post secondary education in a related field is preferred
Experience with Yardi is considered an asset
Strong organizational, multitasking and time management skills
Excellent analytical and creative problem-solving skills
Strong oral and written communication skills in French and English
Ability to prioritize workload and handle competing priorities and deadlines
