Job description

HUB Office Furniture INC. is a fast growing, fast-paced design oriented commercial furniture company looking for a high performing Project & Office Coordinator. As Project & Office Coordinator you are responsible for a range of activities aimed at ensuring orders are accurately placed, tracked, delivered, and installed to meet (and exceed) client expectations. You’ll support Jo and Jessica (owners) with the day-to-day workflow required to keep the dealership running smoothly. You’ll work alongside our internal team, contractors, vendor partners, customer service representatives, and, of course, the client throughout the project cycle to ensure timely communication and customer satisfaction.

This is a full-time position at 37.5 hours/week, with some flexibility, and requires that you have a Driver’s License and a vehicle.

Key Responsibilities

Project Coordinator

  • Act as single point of contact, after order entry, with clients and manufacturers, and third parties, using a people first approach and solutions-based, business mind-set
  • Coordinate project elements from order specifications, quotes, purchase orders and order entry, to ship dates, delivery, and installation
  • Develop product specifications; triple-check specifications against plans; prepare specification order-entry using an electronic specification program
  • Manage administrative, documentation and logistical tasks associated with each project
  • Work closely and lead the installation team
  • Be on site for installations, shifting your schedule as needed
  • Conduct post installation client follow – up to ensure satisfaction and manage any re-orders or deficiencies
  • Point-of-contact for coordinating dealer activities, services, orders and personnel for each assigned account
  • Maintain project administrative elements

Office Coordinator

  • Maintaining organized files and records, both physical and digital
  • Inputting and maintaining data in relevant systems
  • Supporting the management of office schedules, including meetings, appointments and events
  • Supporting the organizing and coordination of HUB events
  • Supporting the ordering and management of office supplies

You have

  • Excellent time management skills! You have a strong sense of workflow, multi-tasking, project planning and execution and prioritizing.
  • Excellent eye for detail! You are known to spot the smallest inconsistency in detail.
  • Excellent communicator! You take the time to understand what is being said, and what’s not.
  • Excellent customer service! You are a champion at being proactive, problem-solving and solution-based thinking.
  • Excellent under pressure! You love deadlines and manage your time accordingly.
  • Excellent intuition and creativity! You have a knack for reading between the lines and thinking differently when it comes to customer service.

We also need you to be comfortable in: Microsoft Office (Word, Excel, PowerPoint, Outlook etc.), and social media platforms.

It would be awesome if you had:

  • Project management certification or experience
  • Office coordination experience
  • Commercial business environment experience
  • An interest/love for awesome furniture

  • Competitive starting wage range of $22- $23/hr, with the broader range for the role up to $27/hr based upon annual review.
