Job Overview:

We are seeking a highly organized, resourceful, and entrepreneurial Project Manager to oversee our capital projects. In this role, you will not be managing active construction sites directly; instead, you will be the critical link project-managing various initiatives funded by grants that result in trades, construction, or renovation outcomes. You will act as the central hub, working with different departments and managing relationships with internal teams, designers, architects, contractors, and suppliers. The ideal candidate possesses a strong blend of administrative precision and a confident, hands-on understanding of trades and manufacturing spaces. You must be comfortable picking up the phone, negotiating, and driving projects forward in a fast-paced environment.

Responsibilities:
  • Stakeholder & Trade Relations: Sourced, quote, and secure suppliers, tradespeople, designers, and architectural firms. Maintain and nurture these relationships while confidently negotiating and weighing pricing options to find the best value.
  • Cross-Functional Collaboration: Act as the linchpin between different internal departments and external professionals, facilitating both in-person and online meetings.
  • Project Administration: Maintain efficient organization by taking detailed meeting notes/minutes, providing recaps, and drafting high-level briefs or recommendations for the C-suite based on professional assessments as needed.
  • Reporting & Accountability: Conduct weekly check-ins with the Lead of Capital once a week, and providing comprehensive project/budget updates once a week or as needed.
  • Financial & Contractual Management: Build and manage project budgets using Google Sheets/spreadsheets and comfortably read and interpret vendor and trade contracts, create Expense reports for billing, track and organize budgets.
  • Space & Workshop Planning: Assist in planning and quoting layouts of manufacturing hubs and workshop spaces and renovations, utilizing an understanding of tools, shop layouts, ventilation, code requirements, and permit processes. Source the tools, software, or specialists needed to map out and plan these designs and budgets.
  • Agile Problem Solving: Pivot seamlessly between multiple distinct projects in a day. Manage your own schedule independently while balancing routine check-ins with unexpected project adjustments.
Requirements & Qualifications:
  • Proven Real-World Experience: Solid background in trades, real estate, manufacturing, or entrepreneurship. Practical, hands-on life and job experience in these fields is highly valued over a degree alone.
  • Communication Excellence: Exceptional communication skills with the confidence to pick up the phone, call anyone for information, and speak effectively in person, not just over email.
  • Industry Knowledge: A solid understanding of renovation, contracting, and manufacturing environments to effectively schedule, discuss, and critique building projects.
  • Entrepreneurial Mindset: A strong ability to source materials or information, think outside the box, critically analyze all angles of a job, and problem-solve on the fly.
  • Technical & Organizational Skills: Organized with proficiency in spreadsheet tools (Google Sheets) and project management CRM software (such as Monday.com, or a strong willingness to learn).
  • Autonomy: Proven ability to work independently, think fairly and critically, and self-schedule a diverse daily workload in a fast-paced environment.
  • Certification: PMP or similar project management certification is an asset but secondary to practical experience.
