Qualifications

Responsibilities

About the Role

North Vector Dynamics is building technology that matters, and we’re looking for a sharp, well‑organized Project Manager who will coordinate projects across engineering, manufacturing, operations, finance, and leadership while owning several critical administrative and reporting processes. A central part of the role will be ensuring that project hours, milestones, costs, risks, deliverables, and supporting records are accurately captured and reported. The successful candidate will prepare specialized timesheets, monthly client reports, invoice documentation, government funding submissions, and SR&ED support materials. They will also serve as the primary administrator of the company’s project management platform, Monday.com. This is a hands‑on position suited to someone who can move comfortably between detailed administrative work and broader project leadership. The Project Manager will assist in the transition from prototyping to scalable defence production. The position is full‑time onsite at NVD’s Calgary location.

What You’ll Do
  • Project Planning and Coordination
    • Lead project meetings, coordinate cross‑functional activities, track deliverables, and provide clear status updates to leadership and external stakeholders.
  • Timekeeping and Labour Reporting
    • Work with employees and contractors to ensure project hours are entered accurately, coded correctly, and submitted on time.
    • Prepare specialized government timesheet forms and reconcile labour records with project budgets, invoices, funding claims, and internal systems.
  • Government Client Reporting and Invoicing
    • Prepare monthly client reports using government‑provided templates, including updates on progress, milestones, expenditures, risks, and upcoming activities.
    • Prepare monthly invoice forms and supporting documentation while ensuring accuracy, confidentiality, appropriate approvals, and compliance with contractual requirements.
  • Government Funding and Compliance
    • Coordinate documentation, reporting, claims, and application support for government contracts and non‑dilutive funding programs.
    • Maintain a master reporting calendar and ensure that technical, financial, timesheet, invoice, and project information remains complete, consistent, and audit‑ready.
  • SR&ED Documentation
    • Coordinate the collection and organization of technical, financial, and project documentation required by the company’s SR&ED consultant.
    • Work with technical teams to capture eligible activities, technical uncertainties, experiments, design iterations, test results, labour records, and supporting evidence throughout the year.
  • Project Management Software Ownership
    • Serve as the primary administrator of Monday.com, including boards, dashboards, templates, automations, permissions, workflows, and reporting views.
    • Establish consistent project‑management standards, train users, monitor data quality, and improve adoption across teams.
  • Production Scale‑Up and Operational Improvement
    • Support the transition from prototyping to mass production by coordinating production‑readiness activities, supplier dependencies, resources, tooling, testing, engineering changes, and manufacturing risks.
    • Help implement scalable project controls, reporting processes, document management, stage‑gate reviews, performance metrics, and continuous‑improvement practices.
  • Cross‑Functional Company Support
    • Contribute to other operational, strategic, and administrative initiatives as company priorities evolve.
    • Support leadership with project analysis, internal reporting, process development, customer requests, audits, and special projects.
What You Bring

Required

  • Bachelor’s degree or diploma in engineering, business, operations, finance, project management, or a related field, with at least four years of relevant project, program, operations, or technical‑administration experience.
  • Strong experience with project coordination, formal reporting, spreadsheets, invoicing, timekeeping, documentation, project‑management software, and confidential information.
  • Excellent attention to detail, coordination with multi‑disciplinary teams, and comfort with meeting tight deadlines
  • Excellent written and verbal communication skills, with the ability to summarize relevant metrics to leadership.
  • Eligibility for a Government of Canada security clearance (reliability stauts level minimum)
  • Comfort operating with autonomy in an unstructured environment: you set your own priorities, manage your own calendar, and hold yourself accountable to outcomes.

Preferred

  • Project management experience in aerospace, defence, advanced manufacturing, robotics, hardware, or another regulated deep‑technology sector, particularly during the transition from prototype development to production.
  • Experience working in a startup, emerging technology company, or a government‑contracting environment where structure was limited and initiative was essential.
  • Familiarity with government funding, SR&ED, project accounting, Monday.com, manufacturing systems, AS9100 or ISO 9001, and project‑management methodologies or certifications.
