Job summary

Ever After Homes in Burlington, ON is seeking a Project Coordinator to connect clients, trade partners, site teams and internal staff. You’ll document project details, keep schedules coordinated and hit milestones using our established systems.

The role requires 2+ years in project coordination within construction or design-build, strong organization, comfort with Google Workspace, proactive communication, and the ability to turn complex processes into clear steps; JobTread experience is a plus.

Qualifications

• 2+ years in project coordination or administrative work in construction, design, or design-build.
• Highly organized, comfortable with technology, and proficient with Google Workspace.
• Clear, proactive, and professional communication
• Enjoy creating structure to help teams stay organized and aligned
• Experience with JobTread is an asset
• Familiarity with Tarion Warranty requirements and Ontario permitting processes
• Valid driver's license and access to a reliable vehicle
• Willingness to commit to the company long term
• Ability to translate complex processes into actionable steps
• Calm, collaborative problem-solving approach
• Genuine care for people and relationships, not just projects

About the Role

As our Project Coordinator, you'll serve as an important connection between our clients, trade partners, site teams, and internal team.

Using established systems and strong communication, you'll help ensure every project detail is documented, schedules stay coordinated, and important milestones are achieved.

You won't be left wondering where a project stands. Our systems are well established, your responsibilities will be clearly defined, and your input will be valued.

Responsibilities

• Use JobTread project management software to help keep projects organized and moving forward
• Schedule, coordinate, and confirm walkthroughs, inspections, and trade activities
• Assist clients with onboarding, project updates, and walkthrough coordination
• Track permits, approvals, budgets, change orders, and other important project documentation
• Maintain accurate records relating to materials, vendors, communications, and site progress
• Help ensure each project phase follows our established design-build process
• Participate in internal meetings to identify potential challenges and address roadblocks early
• Collaborate closely with the Director of Operations and site teams

• 2+ years of experience in project coordination or administrative work, preferably within construction, design, or design-build
• Highly organized, comfortable with technology, and confident using Google Workspace
• Clear, proactive, and professional communication skills
• Enjoy creating structure and helping teams stay organized and aligned
• Comfortable working in a fast-paced, changing environment involving multiple stakeholders
• Valid driver's license and access to a reliable vehicle
• Interested in becoming part of the company for the long term
• Experience using JobTread software is an asset
• Familiarity with Tarion Warranty requirements and Ontario permitting processes
• Ability to turn complex processes or information into clear, actionable next steps
• Calm, collaborative, and proactive approach to problem-solving

Compensation & Benefits

• Full-time position
• Competitive salary of $55,000 to $65,000 CAD per year, based on experience
