Job summary

Gateway Mechanical is seeking a proactive Project Coordinator to orchestrate multiple construction projects from kickoff to completion. You will own schedules, documentation, reporting, coordination with field teams and clients, and support Project Managers on mid-to-large projects.

A strong emphasis on organization, technology use, and delivering exceptional service is essential. In this role you will maintain project records, track progress, monitor costs, and ensure timely communication

Working closely with Project Managers, field teams, subcontractors, consultants, and clients, you'll be at the center of project execution. You'll own schedules, documentation, reporting, coordination, and project administration while helping drive projects from kickoff to successful completion.

What You'll Be Doing

You will:

  • Plan, coordinate, monitor, and close out assigned projects from start to finish.
  • Keep multiple projects moving simultaneously while balancing competing priorities and deadlines.
  • Deliver projects on time, on budget, and with exceptional attention to detail.
  • Manage critical project documentation including drawings, shop drawings, RFIs, change orders, turnover packages, and O&M manuals.
  • Leverage technology and project management systems to track progress, costs, commitments, schedules, and reporting.
  • Monitor project financial performance, invoicing, payments, and revenue forecasting.
  • Coordinate site activities and support field teams to ensure seamless project execution.
  • Support Project Managers on medium and large-scale projects with budgeting, scheduling, reporting, and project controls.
  • Issue, track, and manage purchase orders and project commitments.
  • Maintain project tracking tools and reporting systems with accuracy and accountability.
  • Process and analyze project reports including Job Cost Detail and Committed Cost Reports.
  • Coordinate security clearance and site access requirements for applicable projects.
  • Take ownership of project deliverables and find solutions when challenges arise.
