Project Coordinator - Customer Experience Canada
We are looking to add to our expanding operations team. AmpThink provides a wide range of services to impressive venues worldwide, requiring diverse skills and personalities. The ideal candidate will be comfortable working within a collaborative team of engineers and creatives. The primary focus is to keep our projects on track and organized from an operations perspective. This role supports our sales, operations, and engineering teams from project kick-off to completion.
This includes but is not limited to:
- Procure products or services supporting our needs on or off site
- Ensure timely delivery of products or services
- Maintain active communication with stakeholders regarding job and purchase statuses
- Allocate expenses appropriately to projects
- Provide reports from our accounting system as needed
- Store all relevant documents properly
- Track project milestones to support procurement and invoicing
- Invoice for delivered products or rendered services
- Manage your own time effectively and allocate it to appropriate projects

The ideal candidate will possess:
- Knowledge of basic accounting functions
- Prior experience as a project coordinator is a plus
- Familiarity with IT infrastructure is a plus
Customer Experience Agents are expected to:
- Ensure jobs are accurately captured and tracked through each engagement phase using the company's ERP system
- Ensure raw materials are available on time to meet production schedules
- Schedule work efficiently across all delivery phases
- Communicate lead times and delivery dates proactively to customers
- Coordinate with vendors, customers, and internal teams to resolve delays and issues
- Manage shipping and logistics with external parties
- Support the Sales team by participating in calls, recording notes, and tracking milestones
- Provide excellent customer service during project execution
- Track project milestones, maintain invoicing schedules, and process daily invoices
- Reconcile inventory, produce job cost reports, and coordinate staging and shipping
- Develop strong knowledge of accounts and products/services
- Use reseller tools and applications for configuration validation
- Provide detailed quotes and order management reports
- Create detailed, customer-centric invoicing reports

The ideal candidate will also have:
- Experience tracking project tasks and milestones
- A Bachelor's degree or equivalent experience
- Knowledge of basic accounting functions
- Experience in account management, project coordination, or inside sales
- Experience working in construction or telecommunications resale sectors
