Job summary

Associated Engineering Group in Vancouver is seeking an experienced Project Coordinator to support the Transportation Structures Group. You will assist Project Managers with day-to-day coordination, document control, scheduling, and reporting in a collaborative, hybrid work environment.

The role requires a relevant degree or diploma and 2+ years of project support experience, with strong writing and communication skills.

Qualifications

  • Requires a relevant degree or diploma from an accredited post-secondary institution.
  • 2+ years providing project/management support in a professional setting.
  • Excellent organizational skills with attention to detail and ability to meet tight deadlines.
  • Proficient writing skills for reports and project correspondence.
  • Strong verbal and interpersonal communication with project teams, contractors, and clients.

Responsibilities

  • Assist Project Managers and Leadership Team with day-to-day project coordination and administrative tasks.
  • Organize and control project documents and schedule activities.
  • Follow up on outstanding items and maintain action/decision logs; support monthly project administration.
  • Liaise with government bodies, contractors and other entities for documentary requirements.
  • Develop and maintain document controls for internal systems and project collaboration sites.
  • Attend meetings and prepare minutes; produce correspondence, reports, and presentation materials.
  • Provide administrative support including virtual filing, scheduling meetings, and reporting.

The opportunity:

Associated Engineering, a proudly Canadian, Employee-owned Company is seeking an experienced and dedicated Project Coordinator to join our team in our Vancouveroffice. In this role you will support the Transportation Structures Group by assisting Project Managers and Leadership Team with a broad range of project and general administrative duties. The Transportation Structures group is a dynamic team of over 30 individuals that delivers bridge projects to federal, provincial, municipal, and private clients throughout BC and the North.

What you’ll do:


  • Assisting Project Managers and the Group with day-to-day project coordination and administrative activities, such as project initiations, project closures, budget and schedule tracking, invoicing, etc.

  • Organizing and controlling project documents.

  • Scheduling and coordinating project activities.

  • Following up on outstanding items, maintaining action/decision logs, helping with monthly project administration and coordinating internal processes.

  • Liaising with government bodies, contractors and other companies for coordination of project documentary requirements.

  • Developing and maintaining document controls for internal systems and project collaboration sites.

  • Attending project meetings and prepare and distributing minutes.

  • Preparing correspondence, reports, presentation materials and other documents as required.

  • Providing administrative support to the Group, including virtual filing, document management, scheduling meetings.

  • Organizing and tracking Group safety training, professional development activities, and strategic initiatives.

  • Assisting with preparation of proposals.

  • Assisting in the preparation and tracking of project agreements.
