Job summary

Gensler in Toronto is seeking a Project Coordinator to support Design/Project Managers from proposal to close-out. You will handle contract signage, liaise with counsel and accounting, and use PM tools to enhance staffing, revenue planning, and schedules.

The role requires a architecture/design background, 4–8 years of experience, and strong communication. A base salary is provided within the 65k–72k CAD range with a multi‑layer compensation package.

Qualifications

  • Bachelor's degree in Architecture, Architectural Technology, or Interior Design.
  • 4-8 years of experience.
  • Excellent verbal and written communication skills.
  • Legal and contract review experience is a plus.

Responsibilities

  • Contract/Proposal Assistance – Write, edit, administer and track signage on Letters of Intent, Interim and Final Agreements, Consultant Agreements, and Work Authorizations.
  • Liaise between In-House Counsel, Design Manager and Project Accountant to incorporate comments into draft contract and ensure contract fee is up to date.
  • Utilize project management tools to increase efficiency for both Design Managers and the studio; this includes entering staffing and revenue plans, creating project schedules, and using data management software to identify areas of improvement.
  • Be a go-to resource in your studio on how to understand, meet, and exceed firmwide metrics goals (staffing and revenue plan completion, contract signage, resilience and sustainability metrics).
  • General project assistance such as supplementary project research, meeting notes, updating project profiles, and other miscellaneous tasks to improve the project quality and delivery process.

Your Role

As a Project Coordinator, it is your responsibility to support Design/Project Managers throughout the life of the project from the initial proposal, through various design phases, to project close-out.



What You Will Do

Contract/Proposal Assistance – Write, edit, administer and track signage on Letters of Intent, Interim and Final Agreements, Consultant Agreements, and Work Authorizations.

Your Qualifications

Bachelor’s degree in Architecture, Architectural Technology, or Interior Design


4-8 years of experience


Self-motivated and naturally curious about the architecture and design process


Proficient in Microsoft Word, Excel and capable of taking detailed Meeting Notes


Excellent verbal and written communication skills


Legal and contract review experience is a plus, but not required


Interest in architectural billings, fee planning, and staffing



**The base salary range will be estimated between $65,000 to $72,000. Gensler’s total compensation package is multi-layered and includes a base salary, two annual bonuses paid in December and June.
