AECOM in Pickering, Ontario is seeking a detail-oriented Project Coordinator to support planning, coordination, and delivery of multidisciplinary projects. You will work with Project Managers, technical leads, and clients across Transit, Municipal, Commercial, and Government sectors.

Qualifications

  • Bachelor's degree in Engineering, Architecture, Project Management, Construction Management, or a related field.
  • Preferred: internship/co-op/summer experience in project coordination, engineering, construction, consulting, or administration.
  • Strong organizational and time-management skills with ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and in a multidisciplinary team.
  • Familiarity with project management principles, processes, and methodologies.
  • Experience preparing meeting minutes, schedules, reports, presentations, or other project documentation.

Responsibilities

  • Coordinate day-to-day project activities and support Project Managers in planning and delivery.
  • Assist with developing and maintaining project schedules, action items, milestones, and deliverables.
  • Prepare and maintain project documentation (agendas, minutes, logs, reports).
  • Track project progress, budgets, invoices, and other financial information.
  • Coordinate with internal teams and external stakeholders to obtain information.
  • Monitor risks, issues, delays, and escalation to Project Manager as needed.
  • Organize and coordinate meetings, workshops, calls, and other activities.
  • Prepare and coordinate project presentations and communications for stakeholders.
  • Maintain organized project files and project management systems.
  • Support project controls activities (scope, schedule, budget, resources).
  • Assist with invoicing, forecasting, and other project management tasks.
  • Follow up with team members to ensure actions are completed on time.
  • Contribute to process improvement of PM tools and workflows.

Job description

AECOM is looking for a detail-oriented, organized, and motivated Project Coordinator to join our Buildings + Places Canada (B+P Canada) team in Pickering, Ontario . In this new position, you will support our project management teams in the coordination, planning, and delivery of a variety of multidisciplinary projects. This is an excellent opportunity for a recent graduate looking to build a career in project management and gain hands‑on experience working with experienced professionals across multiple disciplines.

AECOM Buildings + Places Canada (B+P Canada) is a vibrant and growing, fully integrated team spanning architecture, all building engineering disciplines, landscape architecture, urban planning, urban design, economics, and asset management for design and infrastructure projects.

Project assignments may include, but are not limited to, Transit and Municipal, Commercial, Institutional, Justice, Education, and Government projects.

As a Project Coordinator, you will work closely with Project Managers, technical discipline leads, clients, and other project stakeholders, gaining practical experience across all stages of project delivery, including project planning, coordination, documentation, financial tracking, scheduling, risk management, and reporting. This position provides an excellent opportunity for a recent graduate to establish and develop a career in project management within a multidisciplinary engineering and consulting environment, while working alongside experienced Project Managers and technical professionals, participating in a variety of real-world multidisciplinary projects, developing an understanding of project management best practices and AECOM's project delivery processes, and progressively taking on greater responsibility and independence as your experience develops.

This position is for a newly created position expected to start in January or May 2027.

Key Responsibilities
  • Coordinate day-to-day project activities and support Project Managers in the planning and delivery of projects.
  • Assist with developing and maintaining project schedules, action items, milestones, and deliverables.
  • Prepare and maintain project documentation, including meeting agendas, meeting minutes, action item logs, status reports, and project correspondence.
  • Track project progress, deliverables, budgets, invoices, and other project financial information.
  • Coordinate with internal technical teams and external stakeholders to obtain information and follow up on outstanding actions.
  • Monitor project activities and proactively identify potential risks, issues, delays, and coordination requirements, escalating them to the Project Manager as appropriate.
  • Organize and coordinate project meetings, workshops, conference calls, and other project-related activities.
  • Prepare and coordinate project presentations, reports, and other communications for internal and external stakeholders.
  • Maintain organized project files, records, databases, and project management systems in accordance with company and project requirements.
  • Support project controls activities, including tracking scope, schedule, budget, resources, and project performance.
  • Assist Project Managers with project administration, change management, invoicing, forecasting, and other project management activities.
  • Follow up with project team members to ensure assigned actions and deliverables are completed on time.
  • Contribute to the continuous improvement of project management processes, tools, templates, and workflows.
  • Take initiative to identify opportunities to improve project coordination, communication, and efficiency.
  • Perform other project coordination and administrative duties as required.
Minimum Requirements
  • Bachelor's degree in Engineering, Architecture, Project Management, Construction Management, or a related field, or an equivalent combination of education and experience.
Preferred Qualifications
  • Previous internship, co-op, summer employment, or academic experience involving project coordination, engineering, construction, consulting, or administration.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work effectively both independently and as part of a multidisciplinary team.
  • Basic understanding of project management principles, processes, and methodologies.
  • Familiarity with project management or project controls software and tools.
  • Experience preparing meeting minutes, schedules, reports, presentations, or other project documentation.
  • Strong problem-solving skills and demonstrated ability to take initiative.
