We are looking for a Project Coordinator to join the Real Estate and Facilities team at BrokerLink and work out of Oakville, ON or Calgary, AB office on a Permanent Full-Time Basis.

What the Role Entails:
- Provide project coordination and admin support for Project Managers across the country, while leading small projects and assisting in the management of mid to larger branch closures, moves and amalgamations
- Be on-site and manage small branch closures, moves depending geographical location
- Work with internal clients (Technology, Finance, Marketing, and Digital) and external contractors to deliver integrated solutions, support construction projects, support office moves and branch consolidations
- Facilities acquisition integration, aligning each acquisition site that is remaining open with BL national standards
- Verifying service/material delivery
- Create and track budgets in Excel
- Administer, create and manage Purchase Orders
- Assist with the documentation, revision and update of processes, flowcharts and communication
- Handling internal Real Estate and Facilities related requests (i.e.: adding chairs, 1-5 desks to an existing office, ergonomic assessment fulfillments)
- Action the transfer or cancellation of vendor payables as required for acquisitions, office moves or closures on a national level
- Coordinate with Marketing to update, replace or remove exterior signage as required as well as ensure interior signage is maintained and aligned with revolving brand standards
- Verify, approve, code and process invoices (alarms, construction, permitting, furniture, materials procurement, air quality tests, etc.)
- Work with Acquisition Teams and branches to manage off site and archived document storage as outlined in the Corporate Retention Policy
- Work with Human Resources across Canada to ensure ergonomic standards are in place and to implement any requirements outlined in employee ergonomic assessments.
The Successful candidate will have:

- High School and/or Post-Secondary Education
- 2+ years’ experience in an office environment
- Strong customer focus
- Computer skills - MS Office suite required, SmartSheet and JotForm preferred
- Strong focus on accuracy and top-level attention to detail
- Strong time management and organizational skills
- Able to support and coordinate projects coast to coast
- Highly driven for world class results as part of an eclectic national team of high achievers
