Job summary

TechAlliance of Southwestern Ontario in London, ON is seeking a Project Coordinator to support the Director, Strategic Initiatives across a portfolio of innovation projects. You will plan, track, and report on timelines, budgets, and deliverables; coordinate communications with ventures, funders, and partners; and assist with events and program communications.

Responsibilities

  • Support the lifecycle of a suite of projects, including planning, execution, tracking and closure.
  • Monitor timelines, budgets and deliverables to ensure alignment with goals.
  • Survey and prepare draft project reports, including financial summaries and narratives.
  • Coordinate communications with ventures, stakeholders, funders and partners.
  • Assist with event planning, logistics and on-site support for events and experiences.
  • Ensure all projects meet compliance and reporting requirements for public funding.
  • Draft and coordinate project documentation, including contribution agreements and budgets.
  • Support client project development and disbursement of grant funding in collaboration with the Venture Growth team.
  • Assist with applicant review for funding opportunities.
  • Engage in business development by attending regional tech/entrepreneurship events.
  • Collaborate with the Venture Growth team to ensure client services and referrals as needed.
  • Contribute to program copy for web, social media, and press releases.
  • Maintain project data in TechAlliance’s CRM.

Operations Full Time London, ON Hybrid $55,850 - $60,000 CAD per year

About the Role

The Project Coordinator plays a vital role in supporting the Director, Strategic Initiatives, with a portfolio of initiatives aimed at enhancing innovation capacity and driving the growth of high-potential enterprises in key sectors. This position ensures the seamless execution of projects by planning and delivering programs for entrepreneurs, managing timelines, creating and monitoring budgets, maintaining data accuracy, and preparing comprehensive reports. This role collaborates closely with internal teams, ventures, and stakeholders to achieve project goals and foster positive impact to Ontario's innovation economy.

The ideal candidate will demonstrate deep alignment with TechAlliance’s overall mission; strive to improve Southwestern Ontario and Canadian innovation to drive positive societal and economic outcomes; have project management experience; and ideally have prior experience in the technology or innovation space.

Reporting to the Director, Strategic Initiatives you will:
  • Support the lifecycle of a suite of projects, including project planning, execution, tracking, and closure.
  • Monitor and create project timelines, budgets, and deliverables to ensure alignment with goals.
  • Survey and prepare draft project reports, including financial summaries, performance reporting, and narratives for review by the Director, Strategic Initiatives.
  • Coordinate communications and liaise with ventures, stakeholders, funders, and partners.
  • Support the Event Specialist with the planning and delivery of TechAlliance events, workshops, and project-related experiences as well as assist with event logistics, setup and responding to on-site needs as they arise
  • Ensure all projects meet compliance and reporting requirements associated with public funding.
  • Draft and coordinate project-specific documentation, including contribution agreements and budgets.
  • In collaboration with the Venture Growth team, support companies by assisting with client project development, milestones, and disbursement of grant funding.
  • Support the review and selection of applicants for funding opportunities
  • In a business development capacity, recruit new prospects by attending regional tech and entrepreneurship experiences across each of the five counties we serve (outside of standard business hours).
  • Work closely with members of the TechAlliance Venture Growth team to ensure all client companies receive equitable and appropriate level of service and ongoing support through the Advisors, Growth Coaches or Entrepreneurs-in-Residence, while making referrals where appropriate.
  • Contribute to program-specific copy, including web content, social media campaigns, and press releases.
  • Support the collection and maintenance of project data in TechAlliance’s CRM.
What you need to succeed
  • Bachelor’s degree or equivalent post‑secondary education in business, communications, project management, or a related field.
  • 3+ years experience in a project coordination role.
  • Exceptional interpersonal and communication skills in addition to stealth project coordination capabilities.
  • Be creative and resourceful with challenges, leading with a solutions-focused approach.

  • Demonstrated success in building credibility, managing relationships, and proactively collaborating with multiple internal and external stakeholders.
  • A strong financial acumen with prior project budget support experience.

  • In‑depth knowledge of principles of writing, including grammar and style, attention to detail, proofreading abilities with an excellent command of the English language.
  • Superior oral and written communications skills including active listening and demonstrating professionalism in both presentation and demeanor, with an excellent command of English
  • Acute understanding of social media platforms from content, audience, and technical perspective, and active on Twitter, LinkedIn and Instagram.
  • Dedicated team player who can contribute to a vibrant team culture and core values, while prioritizing multiple and changing demands.
  • Highly self‑motivated, innovative thinker with a creative flair and passion.
  • Knowledge of and active connector to key ecosystem players in Southwestern Ontario
  • Proficiency in Microsoft 365, project management tools (Monday.com, Asana), CRM platforms (Hubspot, Salesforce), Slack, MailChimp, Canva, and event tech (Luma, Eventbrite).
  • Valid driver's license, access to a vehicle, and resides in Elgin, Huron, Lambton, Middlesex, or Oxford County.
