Job summary

Qualifications

  • 5+ years of project coordination experience, preferably in a consulting environment.
  • Post-secondary diploma in Architecture, Engineering or related field.
  • PMP pursuit is an asset.

Responsibilities

  • Coordinate contracts with an understanding of the construction process.
  • Support senior project managers with data accuracy and progress reporting.
  • Develop and update project plans in organizational tools; assist bidding processes.
  • Prepare documents with minimal editing for client submission.
  • Assist resource planning and ensure data completeness and compliance with standards.
  • Track project budgets, schedules, and scope; provide regular status updates.
  • Support project close-out tasks and documentation finalization.
  • Assist with business development activities, including proposals and skeleton plans.

Job Overview

As a Project Coordinator at WalterFedy, you’ll be at the heart of dynamic, multidisciplinary project teams, helping bring complex ideas to life. This role is ideal for someone who thrives on organization, communication, and continuous learning. You’ll play a key role in supporting Project Managers through every stage of the project lifecycle—from coordinating contracts and tracking budgets to preparing proposals and maintaining schedules. Focused on developing and applying project management knowledge and skills, you’ll provide essential support in resource coordination, financial reporting and analysis, and administrative tasks from project inception to completion. With a proactive mindset, you’ll anticipate project needs, support multiple initiatives, and actively engage in the full delivery cycle—making a meaningful impact on the success of our projects and the communities we serve.

What You'll Do
  • Support Project Managers by coordinating contracts with a strong understanding of the construction process and related documentation.
  • Assist senior Project Managers in ensuring data accuracy, adherence to analysis standards, and managing project progress, including financial, resource, and status reporting.
  • Organize customer requirements, develop and update project plans in organizational tools, and support the bidding process.
  • Independently prepare documents with minimal editing required by Project Managers before submission to clients or finalization for projects.
  • Aid senior Project Managers with resource planning, ensuring data completeness, and compliance with company standards and processes.
  • Continuously support Project Managers in tracking project budgets, schedules, and scope.
  • Assist in project close-out tasks, including monitoring deficiencies and ensuring all documentation is finalized.
  • Help Project Managers with business development activities, such as preparing proposals, creating skeleton plans, and contributing to project understanding and methodology.
  • Participate in WF Group PM orientation training relevant to primary job functions and enhance project management skills through ongoing training and practical application.
  • Organize and maintain project schedules using advanced tools, coordinating tasks across multiple disciplines, especially on larger projects.
  • Demonstrate initiative and judgment in resolving problems, analyzing data, and proactively addressing project needs by applying standard procedures and following detailed instructions.
  • Provide regular updates on financial, resource, and status reporting for internal project performance.
  • Prepare correspondence and communicate professionally with clients, team members, and authorities, ensuring clarity and courtesy.
  • Attend project meetings, take minutes, follow up on action items, and assume additional responsibilities in the absence of Project Managers.
  • Assist with various tasks and projects as assigned by supervisors or senior team members to support the overall success of the team and company objectives.
  • Demonstrate a strong commitment to our company values of quality, client focus, teamwork, sustainability, and community, integrating these principles into daily work practices and interactions with colleagues, clients, and stakeholders.
What You Bring To The Table
  • Post-secondary diploma in Architecture, Engineering or related field.
  • Proven experience (5+ years) in project coordination or project management, preferably in a consulting environment.
  • PMP pursuit is an asset.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Strong understanding of the design process, construction procedures, and complete project delivery cycle.
  • Excellent communication skills, both verbal and written, with the ability to effectively interact with diverse stakeholders.
  • Proficiency in project management software (e.g., Microsoft Project, Primavera), Microsoft Office suite, advanced scheduling tools and data analysis techniques.
  • Proactive mindset with the ability to anticipate project needs and take initiative.
  • Ability to travel to offsite meetings as required.
