Job summary

RJC Engineers is seeking a proactive Project Administrator to help keep projects running smoothly. You will coordinate information, manage documentation, support client service, and ensure records are complete from start to finish. Training on industry processes will be provided.

The ideal candidate is highly organized, comfortable with technology, and able to deliver accurate, high-quality work in a fast-paced professional environment. Applicants from diverse backgrounds are encouraged to apply.

Responsibilities

  • Assist with preparing proposals and responses to client opportunities.
  • Draft, edit, and format reports, presentations, and other professional documents.
  • Track project-related information and follow up on outstanding items.
  • Coordinate project documentation and ensure records are current and complete.
  • Manage incoming and outgoing correspondence through digital document management systems.
  • Maintain organized electronic filing systems and project records.
  • Support project teams with administrative and coordination activities.
  • Collaborate with accounting staff to ensure timely and accurate invoicing.
  • Enter and maintain data across multiple systems.
  • Communicate regularly with internal teams, clients, and external partners.
  • Upload, download, and distribute project files as required.
  • Create and maintain project workspaces, templates, and tracking systems.
  • Identify opportunities to improve administrative processes and team efficiency.

Education

Degree in administration or related field

Location: Victoria, BC

Salary: $54,000 - $65,000 (dependent on experience)

Candidate Profile

We’re looking for an outgoing, organized, detail-oriented Project Administrator to help keep our projects running smoothly. In this role, you’ll work closely with engineers and project teams to coordinate information, manage documentation, support client service, and ensure projects stay organized from start to finish.

You do not need previous engineering or construction experience to be successful in this role. We provide training on our industry, processes, and systems. We’re interested in candidates who enjoy coordinating multiple tasks, communicating with different stakeholders, maintaining accurate records, and supporting a team in a fast-paced professional environment.

The ideal candidate is proactive, highly organized, comfortable working with technology, and takes pride in delivering accurate, high-quality work.

Key Responsibilities

Duties include, but are not limited to:

  • Assist with preparing proposals and responses to client opportunities.

Professional Qualifications & Experience
EDUCATION
  • Degree, diploma, certificate, or equivalent experience in administration, business, project coordination, office management, communications, or a related field.
EXPERIENCE
  • 1-3 years of experience in administrative, coordination, customer service, office support, operations, or project support role.
  • Experience working in a professional office environment is an asset.
  • Experience with document management systems is helpful but not required.
  • Experience in engineering, architecture, or construction is welcome but not necessary.
SKILLS
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines.
  • Comfortable learning new software and technology.
  • Strong customer service and relationship-building skills.
  • Ability to work independently while collaborating effectively with a team.

  • Experience with financial administration, invoicing, or accounting processes is an asset.
  • Familiarity with Monday.com or Airtable is an asset but not required.
