Job summary

Entuitive in Toronto is seeking a Project Administrator to support the national Transportation team. Based in our Toronto office, you will coordinate meetings, prepare agendas, handle correspondence, and assist with travel logistics, helping keep projects moving across the country.

This role offers exposure to cross-functional teams, mentoring, and a pathway to leadership within a collaborative, flexible hybrid environment that balances office days with remote work.

Qualifications

  • 1-2 years minimum experience in project teams, office administration, business development, or proposal teams.
  • Experience in Architecture/Construction/Consulting/Engineering preferred.
  • Proficient with Microsoft Office, CRM systems and bid management tools.
  • Strong organizational, detail-oriented and analytical skills, comfortable with numbers and data entry.
  • Excellent written and verbal communication skills.
  • Ability to work independently and multitask in a fast-paced, deadline-driven environment.

Responsibilities

  • Coordinate meeting logistics for project, business development and internal meetings; schedule, prepare agendas, and take clear minutes.
  • Handle correspondence and act as point of contact for scheduling and follow-ups for leaders.
  • Assist in preparing presentations and reports for projects, proposals, and internal initiatives.
  • Maintain and update templates and tools in Word, Excel, and PowerPoint.
  • Support proposal and project administration, including CRM/ERP data entry and management tools coordination.
  • Coordinate travel arrangements and logistics for leaders.
  • Support financial administration including expense reports, timesheet coordination, and invoice tracking.
  • Assist with organizing internal team activities and events.

Entuitive is looking for a Project Administrator, based in our Toronto office, to support our growing, national Transportation team. Working closely with project, business development, and internal leaders across the country, this role plays a key part in coordinating meetings, correspondence, presentations, and travel, while helping keep projects, pursuits, and internal initiatives moving forward.It'sa great opportunityto build broad exposure across a dynamic and expanding team, working independently and collaboratively across multiple workstreams. The ideal candidate brings strong organizational skills, a proactive mindset, and excellent communication skills to support cross-functional teams and project delivery effectively.

What will you do?

What do you need to succeed?
  • Minimum 1-2 years of experience working withinproject teams,office administration, business development,and/orproposalteam isrequired.
  • Experience working in the Architecture, Construction,Consultingand/or Engineering industry is strongly preferred.
  • Proficient in Microsoft Office Suite, CRM systems, and bid management tools.
  • Strong organizational, attention to detail, and analytical skills,including comfort working with numbers and financial data entry.
  • Excellent written and verbal communication skills
  • Ability to work independently and multitask in a fast-paced, deadline-driven environment,with a proactive, self-starting approach and the ability toanticipateneeds.

  • Competitive base salary:$55,000 - $65,000(alignedwithexperience, qualifications, and education)
