Job summary

ENMAX Corporation is seeking a Project Administrator to join our Project Delivery team in Calgary. You will support project setup, documentation, invoicing and data management, ensuring timely and accurate information flows across multiple systems.

The role blends office work with onsite coordination in a hybrid schedule. Ideal candidates bring 4 years of admin experience in engineering or construction settings, strong MS Office/SharePoint skills, and a working knowledge of MAXIMO.

Qualifications

  • 4 years’ administrative experience in a fast-paced, engineering, construction, project management environment.
  • Advanced proficiency in Microsoft Office and SharePoint; working knowledge of MAXIMO is an asset.
  • Knowledge of project management practices and processes.
  • Experience working within tight project timelines and managing concurrent project activities.
  • Experience working with and maintaining data in business systems, including identifying opportunities to improve processes or results.

Responsibilities

  • Support the Project Delivery teams in all areas of project administration, including setup, LEMS receiving, IFC drawings to contractors reporting, permits, and contract administration.
  • File, maintain, and transfer project documents and artifacts using multiple systems of record.
  • Manage the document control process and SharePoint access, updates, and improvements.
  • Review and process customer information such as payments, invoicing, refunds, and cost letters.
  • Plan and perform project data cleanup and prepare summarized findings for leadership.
  • Assist with presentations and meeting minutes, ensuring accurate records and follow-up actions.
  • Support project teams with information flow and stakeholder communication.
  • Maintain awareness of clients’ and internal stakeholders’ operating environment and adapt to needs.

Major Responsibilities
  • Support the Project Delivery teams in all areas of project administration, including project setup, Project Labour, Equipment, Materials, and Services (LEMS) receiving, As Built submissions, sending IFC drawings to contractors reporting, permit requests/approvals, and administration for contracts and agreements
  • File, maintain, and transfer of project documents and artifacts utilizing multiple systems of record
  • Manage the document control process as well as other areas of SharePoint functionality including access, updates, and improvements
  • Review and process customer information such as payments, invoicing, refunds, cost letters, and other correspondence
  • Proactively plan and perform project data cleanup functions
  • Perform complex administrative and analytical tasks, such as reviewing and updating information in files, preparing reports, and maintaining records, to ensure accuracy and efficiency in project operations
  • Support project teams with presentations, meeting minutes, and compiling summarized findings for a variety of audiences including senior leadership
  • Utilize resources effectively to achieve maximum efficiency in performance of duties, contributing to the overall success of the team and project outcomes
  • Maintain awareness of clients’ and internal stakeholders’ operating environment, demonstrating understanding and responsiveness to their needs
Education Required
  • High school diploma or GED and currently enrolled or completed some post-secondary education in a related field
Qualifications & Experience
  • 4 years’ administrative experience in a fast-paced, engineering, construction, project management environment
  • Advanced proficiency in Microsoft Office and SharePoint; working knowledge of MAXIMO is an asset.

Salary

Salary: Office Administration Level C (Current CUPE 2026 rates) $62,648.40 - $66,556.49 - $70,464.58 - $74,392.50 - 78,300.59

Location

This role will be part of our hybrid (home and office) workforce with office workspace located at ENMAX Place (141 - 50th Avenue SE, Calgary, AB). You will work from home on Mondays and Fridays and in the office on Tuesdays, Wednesdays, and Thursdays.
