Job summary

The INTREPID Lab at CAMH seeks a full-time, contract (12 months) Program Officer to drive and operationally support a diverse portfolio of initiatives, including research studies, health services programming, education and knowledge translation. The role emphasizes nicotine dependence and whole-person care within a dynamic, interprofessional team.

Responsibilities include budget oversight, procurement, contract administration, and coordination across Finance, Legal, and QA.

Qualifications

• Undergraduate degree plus a minimum of 3 years of operational/administrative experience.
• 1 year or more supporting programs, projects, or research administration.
• Strong knowledge of processes relevant to clinical research, education, and knowledge translation.
• Ability to manage multiple projects in a fast-paced environment.
• Excellent organizational and written communication skills.

Responsibilities

• Provide budget management support and monitor expenditures for research programs and projects.
• Assist with finance and procurement processes (invoices, travel pre-approvals, card reconciliations).
• Coordinate end-to-end procurement activities including vendor sourcing and quotations.
• Assist with contracts, agreements, and related documentation.
• Liaise with Finance, Procurement, Legal, QA to support operations.
• Support QA projects and maintain accurate records and compliance.
• Prepare progress reports, presentations, and briefing notes.
• Support multi-site funding applications with external collaborators.
• Oversee program infrastructure including equipment, documents, databases, and systems.
• Provide admin and day-to-day operations support to the team.

The INTREPID Lab at CAMH is seeking a highly motivated, full‑time, contract (12 months) Program Officer to help drive forward and operationally support a diverse portfolio of initiatives, including research studies, health services programming, education, knowledge translation, and stakeholder engagement. While our primary focus is nicotine dependence, our approach emphasizes whole‑person care that leads us to create innovative health services models that also address many co‑occurring conditions.

Responsibilities

• Provide budget management support and monitor expenditures for research programs and projects.
• Assist Scientists and Managers with finance and procurement processes (e.g., invoices, travel pre‑approvals, credit card reconciliations).
• Coordinate and support end‑to‑end procurement activities, including vendor identification and sourcing, obtaining and evaluating quotations, and facilitating procurement processes in compliance with organizational policies and procedures.
• Assist with the preparation, review, and administration of contracts, agreements, and related documentation.
• Liaise with internal support functions, including Finance, Procurement, Legal, QA, and other departments to facilitate research operations.
• Support Quality Assurance (QA) projects and related administrative activities. Maintain accurate records and ensure compliance with organizational policies, procedures, and documentation requirements.
• Create and review forms, documentation, and proposed budgets for accuracy and compliance, and prepare progress reports, presentations, briefing notes, and approval memos.
• Support multi‑site funding applications with external collaborators (e.g., universities, hospitals), including budget planning.
• Lead the onboarding and off‑boarding of staff and trainees, ensuring compliance with CAMH policies and standards.
• Oversee program infrastructure, including equipment, documents, databases, and operational systems.
• Provide administrative and technical support, such as coordinating meetings, preparing agendas/minutes, and organizing events.
• Maintain INTREPID’s performance monitoring systems and provide updates to leadership
• Provide other administrative and day‑to‑day operations support to the team

Qualifications

• Undergraduate degree plus a minimum of 3 years of experience in an operational, administrative, or customer service–oriented role.
• At least 1 year of experience supporting programs, projects, or research administration
• Strong knowledge of processes relevant to clinical research, education, and knowledge translation.
• Demonstrated ability to manage multiple projects simultaneously in a fast‑paced environment.
• Excellent organizational and communication skills, with proven writing ability.
• Strong interpersonal and conflict resolution skills
• Skilled in budget management, and data/statistical tracking.
• Advanced proficiency with Microsoft Office Suite
• Ability to quickly find, learn and assimilate new information
• Ability to prioritize and handle a high volume of diverse projects simultaneously
• Ability to capture and articulate risk issues
• Ability to effectively communicate and problem‑solve with a diverse variety of stakeholders and team members who may have conflicting interests and priorities
• Ability to handle sensitive and confidential information in a professional manner
• Experience in an academic or healthcare environment is an asset.
• Bilingualism (French/English) and/or proficiency in a second language is an asset.

Compensation & Benefits

• Hiring Salary Range: $65,260.62 – $81,575.78 per year ( based on qualifications and experience )
• Full Salary Range: $65,260.62 – $97,890.93 per year ( reflecting potential growth within the role )
