Job summary

Archway is seeking an Administrative Assistant to provide administrative and operational support to the Project Supervisor and CEP program teams within the PBLMT initiative in Abbotsford. The role focuses on participant intake, eligibility assessments, onboarding, and detailed record-keeping to support training and practicum components.

The position is full-time, on-site, temporary from Oct 12, 2026 to Jun 18, 2027, with wage of CAD 25.91 per hour and a 35-hour workweek.

Qualifications

  • A business or office administration diploma is an asset.
  • A minimum of 2 years of administrative experience in a fast-paced office environment.
  • Experience providing administrative support to employment, workforce development, education, training, social services, or community-based programs is preferred.
  • Experience preparing reports, tracking performance data, and maintaining confidential client records with a high degree of accuracy.
  • Demonstrated ability to work independently, prioritize competing demands, and exercise sound judgment with minimal supervision.
  • Strong interpersonal, verbal, written, and active listening communication skills; ability to communicate clearly and respectfully with people from diverse backgrounds, cultures, and varying levels of English.
  • Ability to use Microsoft Office 365, including Word, Excel, Outlook, and PowerPoint skills to create reports and presentations.
  • Ability to work as part of a team.
  • Ability to maintain confidentiality and handle sensitive participant information with professionalism and discretion.
  • Ability to work in a fast-paced environment with demanding deadlines.
  • Ability to interact with people in challenging situations.
  • Ability to manage frequent interruptions requiring the ability to efficiently switch tasks.
  • A satisfactory Criminal Records Check is a condition of employment.

Responsibilities

  • Assist the Project Supervisor and project team in participant intake and eligibility assessments.
  • Register participants for training and liaise with WorkBC and SASET staff.
  • Coordinate documentation for Ministry submissions related to orientation and training.
  • Create and maintain participant files, training plans, and progress records.
  • Maintain financial records such as petty cash, purchase orders, and cheque requisitions.
  • Take and distribute minutes from meetings and coordinate room bookings.
  • Set up rooms for trainings and prepare attendance sheets.
  • Coordinate third-party training providers and ensure participant registration and attendance.
  • Track participant feedback and compile data for reports.
  • Prepare reports summarizing project activities and deliverables.
