Reporting: This position will report to the Production Manager.
Objective:
The Production Coordinator position is responsible for the accuracy of the documentation which reaches the construction department while driving a strict preconstruction timeline through efficient processes.
Key Responsibilities:
- Coordination & Submissions of the plan documentation leading to developer architectural approval
- Co-ordinating necessary revisions with Production Drafting team
- Tracking Job File progress and reporting as required (updates in NSS and Monday.com).
- Goal: Establish a Job File "Level of Delivery" for AC submissions from Precon Draftspersons
- Goal: Circulate and receive AC approvals within the allotted average for the Developer’s expected performance approval timelines. (Range View - Section 23 = 8 days), (Sawgrass, Secord, Citadel, Mahogany - Hopewell = 5 days), (Hotchkiss - Qualico = 5 Days) (Montrose - Dream Calgary = 5 Days) (Maple Crest, Elan - Dream Edmonton = 5 Days
- Goal: Create and maintain a matrix presentation of developer requirements by community
- As part of this activity, the following tasks fall within the scope of your activity, but are
not limited to:
Exterior Colour Sheets & Materials
- Create templates for new models and/or elevations for distribution to sales
- Support production drafting when revisions to a template are required
- Update templates and material availability list when standard materials are revised
- Collect and distribute new exterior colour material samples to sales team.
Interface with Sales Coordinator & Conveyancing
- Reviewing firm sales agreements to assign job file types and job file readiness for preconstruction in the production calendar. Downloading pre-approved exterior colour sheets from Lotworks into the ECF (Hopewell Communities Only)
- Resolving exterior colour rejections with sales in the Architectural Approval process (see next section)
- Reviewing plan sign-off packages from sales and coordinating revisions with production drafting as required
- Circulating change orders and plan updates to construction administration
Coordinating Preconstruction Tasks
- Job File assignment and task distribution to team members
- Circulating plans to acquire permit supporting documents and coordinating layout reviews with the Production Draftsperson
- Filing of documentation in SharePoint (electronic)
- Submitting to the municipalities for development and building permit
- Handling payment for permits and communicating with the accounting department
- Other duties as required
General
- Communicating with inter-office departments, such as construction, estimating, accounting, and design
- Your support team is your immediate manager, production lead, and members of the production drafting and product development teams
Qualifications:
- 2–5 years of experience in residential construction, project coordination, or a similar administrative support role.
- Knowledge of Microsoft Office 365 programing, SharePoint, Monday.com, DocuSign, Newstar Sales and AutoCAD is required.
- Strength in multi-tasking and communication is required.
- Strong organizational and time management skills.
- Excellent communication (written and verbal) for coordinating between internal teams, trades, and municipalities.
- Ability to multi-task and handle multiple active communities/projects at once.
- Attention to detail and problem-solving mindset.
- Estimating experience would be considered an asset.
Working Conditions:
Traditional core office hours are Monday to Friday 8:00 am to 5:00 pm.
