Canadian Timberframes Ltd. in Golden, BC is hiring a Production Administrator to streamline production floor administration, receiving, and data entry into our accounting software. The role requires strong communication, attention to detail, and the ability to work with minimal supervision.

GENERAL ACCOUNTABILITY

The primary accountability of the production administrator is to facilitate all production floor administrative tasks and receiving activities, processes to ensure timely and accurate flow of information. Data entering from approved shop sign offs, proper receiving entering of goods in our accounting software are part of the position. Administrative experience and computer skills are required. Excellent communication skills, written, verbal, Interpersonal, and phone skills are essential; ability to think analytically, and troubleshoot effectively.

SPECIFIC ACCOUNTABILITIES
  1. Communicate daily with production leads to ensure that work activities and deliverables are aligned with contracted obligations and set delivery dates. Produce and maintain weekly Bill of material pulls.
  2. Co-ordinate Bill of materials for projects; inclusive of purchasing, inventory tracking and physical packaging to expected standards
  3. Inventory management / goods receiving processing / purchase order processing
  4. Maintain tidy inventory of fasteners, shop supplies, tool spares – ensuring inventory levels of maintained
  5. Updating the production schedule as projects / timelines progress as well as loading relevant seed data for all projects
  6. Inspect incoming and outgoing loads to verify contents and quality, counting stacking and organizing of lifts, and project boxes.
  7. Prepares shipping documents (internal labels & docs/external docs), creates waybills and arranges shipments based on ship date and requirements from production schedule to ensure customer expectations are met.
  8. Administer customs documentation for shipments headed to the US / abroad
  9. If required track shipments and notify internal team if there is a delay.
  10. Administer shop requisitions and retail order documentation as required, including packaging of small shipments & handling associated shipping labels / customs docs
  11. Receive and inspect received goods to ensure that part number, revision, quantity and delivery match Purchase Order or Intercompany Sales Order requirements.
  12. Assist in the QC process for received materials
  13. Notify Logistics and Production Supervisor when received goods are found damaged, or inadequate.
  14. Ensure products are properly labeled when boxes are opened, and that product is protected adequately while in storage
  15. Maintain inventory mins/max & monitor inventory counts
  16. Proactively contribute to and implement continuous improvement initiatives.
  17. Assist shop personnel in hand-work & staining if required
  18. Assist in accounting entries and other clerical duties if required
  19. Other duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES

Minimum 1-year administrative experience or a great attitude and willingness to learn.

Strong organizational and problem-solving skills with attention to detail.

Strong IT, Excel skills and ideally some Sage experience

Good communication skills

Adaptable and self-motivated to changing a work environment.

Ability to perform tasks with little supervision

High School Diploma/GED or Higher

Must be legally authorized to work full-time in Canada for any employer

*Safety footwear is a requirement for all production positions.
