The Blueprint

As a Procurement and Vendor Compliance Specialist, you will lead v endor oversight and support procurement processes across our managed condominium portfolio. In this role, you will ensure fair, transparent vendor practices while upholding compliance and operational excellence in partnership with property teams and condominium boards.

A Glimpse into Your Daily Activities

  • Vendor Procurement & Sourcing: Manage procurement processes, negotiate RFQs, coordinate with stakeholders, optimize cost-saving initiatives, maintain vendor platforms, automate document collection, and track performance metrics.
  • Vendor Compliance & Documentation: Maintain vendor records, ensure compliance, track document expirations, and oversee onboarding and vetting for Vendor PM and Vendor Café platforms.
  • Vendor Performance Management: Develop scorecards, KPIs, and service reviews, collaborate with Property Managers to address vendor performance, support corrective actions or terminations, and utilize Vendor PM for tracking and reporting metrics.
  • Governance & Board Engagement Support: Prepare procurement summaries and vendor comparisons, support board approvals, provide transparency documentation, and generate reports for board presentations and decisions.
  • Process Improvement & Reporting:Improve vendor evaluation and procurement, maintain dashboards on trends, enhance policies and controls, optimize Vendor PM and Vendor Café for efficiency, and track rebate initiatives for cost savings.
  • Project Management:Manage platform enhancements and integrations, coordinate staff training, and ensure timely execution of procurement initiatives.

The Architect of Your Success

  • A Diploma or Degree in Business, Supply Chain, Property Management, or a related field.
  • 3+ years of experience in procurement or vendor management, ideally in property management or real estate.
  • Strong knowledge of compliance standards (e.g., WSIB, insurance) and condo governance in Ontario.
  • Familiarity with Condominium Act and CMRAO expectations.
  • Effective communicator with a neutral, ethical, and detail-oriented approach.
  • Proficiency in Microsoft Excel, Word, and property management systems such as Yardi or Condo Control.
  • Experience with vendor management systems, including platform administration, user training, and data reporting.
  • Project management skills to oversee platform enhancements and integrations.
