Job summary

Tetranex Solutions, an Alberta-based engineering and procurement company, is seeking a Procurement Specialist to manage the full procurement lifecycle. You will source vendors, issue RFQs, negotiate terms, and oversee purchase orders through to payment and closure.

Role requires strong communication, negotiation, and organizational skills, with the ability to thrive in a fast-paced environment and manage high volumes. Calgary area office-based position with focus on quality and client service.

Qualifications

  • 10+ years of purchasing experience in an EPC environment.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint).
  • Bachelor’s degree in Supply Chain Management, Business Administration or related field, or equivalent.
  • Knowledge of contracts, customs, freight and tax issues is an asset.
  • Strong knowledge of the Supply Chain lifecycle and project stages.
  • Experience negotiating and monitoring purchasing agreements.

Responsibilities

  • Own end-to-end procurement process from sourcing to closure.
  • Identify qualified vendors for products and services.
  • Issue RFQs, compare quotations, select optimal source.
  • Create and manage purchase orders in line with terms.
  • Monitor orders and address delays or issues.
  • Generate weekly KPI reports for program and budget holders.
  • Develop and improve procurement strategies and procedures.
  • Reconcile purchase and invoice discrepancies.

Position Description

Currently, Tetranex is seeking a full-time Procurement Specialist.

As a Procurement Specialist, you will be responsible for managing the full procurement lifecycle, from sourcing vendors to final payment and closure. You will work closely with internal teams, external suppliers, and other stakeholders to ensure the efficient and effective acquisition of materials and services in support of program and organizational goals. This role requires strong communication, negotiation, and organizational skills, as well as the ability to thrive in a fast-paced, dynamic environment.

Responsibilities:
  • Ownership of end-to-end procurement process, from sourcing vendors to managing purchase orders and closure activities post-payment.
  • Identify qualified vendors for products and services
  • Prepare and issue Requests for Quotations (RFQ), validate quotation compliance, and perform price and delivery comparisons to select the optimal source in line with company policies.
  • Create and manage purchase orders, ensuring compliance with contractual and quality terms and conditions, while being mindful of domestic and international cultures.
  • Proactively monitor and manage purchase orders to ensure timely delivery, addressing any potential delays, service issues or financial impacts.
  • Maintain accurate electronic records, generate weekly reports to track progress, and issue Key Performance Indicator (KPI) reports for program and budget holders.
  • Provide input for the development and improvement of procurement strategies, department procedures and procurement processes.
  • Reconcile purchase and invoice discrepancies, ensuring compliance with purchasing policies, goals and objectives.
  • Actively participate in department and operational meetings, coordinate and communicate vendor issues and support reporting activities to demonstrate compliance. This would include orchestrating, attending and hosting vendor progress and client procurement project progress meetings
  • Drive and maintain strong data discipline in the Procurement report environment.
  • Create and maintain positive and ethical vendor relationships.
  • Follow workplace operating, environmental health and safety procedures and guidelines.
Requirements:
  • Minimum of 10 years of purchasing experience in an EPC environment.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) is essential.
  • Bachelor’s degree in Supply Chain Management, Business Administration or a related field, or equivalent combination of education, training and experience, is considered an asset.
  • Knowledge of business contract law, customs, freight and tax issues is considered an asset.
  • Strong knowledge of the Supply Chain lifecycle and roles/responsibilities at different project stages.
  • Demonstrated experience preparing, negotiating, and monitoring purchasing agreements including associated terms and conditions.
  • Strong knowledge of purchasing concepts, negotiation tactics and techniques, and material management principles.
  • Strong analytical and problem-solving skills, with the ability to troubleshoot and resolve discrepancies effectively.Demonstrated ability to source hard-to-find materials using multiple supply sources.
  • Excellent communication, interpersonal and organizational skills, with a high level of attention to detail.
  • Ability to work independently, adapt to changing priorities and manage a high volume of work efficiently.
