Job summary

Macklan Group is seeking a Preconstruction Coordinator to join the Macklan Innovation Centre. Reporting to the Preconstruction - Project Manager, you will support the execution of preconstruction tasks and provide administrative support across pre-award and post-design stages.

You will manage meetings, procurement, document control in Procore, budget tracking, and monthly reports while coordinating with internal and external stakeholders to keep projects on schedule and within budget.

Qualifications

  • Strong communication and interpersonal skills with a customer focus.
  • Proficient with MS Office; quick learner of new software.
  • Highly organized and detail oriented; able to manage multiple projects.
  • Solid understanding of Procore.
  • Three or more years of administrative experience in construction/engineering preferred.

Responsibilities

  • Provide general project administration and document control.
  • Schedule meetings, capture minutes, and distribute them in a timely manner.
  • Create purchase orders and subcontracts; monitor execution by relevant parties.
  • Maintain project budget and dates in the construction software; support cost reporting.
  • Configure/maintain project documentation in Procore for each project.
  • Support procurement of consultants and prepare monthly project reports.

About the Role

We’re currently looking for a Preconstruction Coordinator to join our Macklan Innovation Centre. Reporting to the Preconstruction - Project Manager, the Preconstruction Coordinator works closely with other project support and design team members as part of a diverse and inclusive team. You will support the execution of all preconstruction project related tasks and provide administrative support to projects in pre-award and post-design stages.

Responsibilities
  • General project administration.
  • Meeting support: Schedule, document and issue minutes within a timely manner.
  • Create purchase orders and subcontracts in construction software program and monitor for execution by the relevant parties.
  • Ensure that finalized budget and project dates are up to date in construction software program.
  • Support accurate project cost reporting maintenance and adherence.
  • Configure project documentation for each project within the Procore platform.
  • Upon project completion, support reconciliation and system close-out, including Procore project sites.
  • Support defining, tracking and recording key project milestones and decisions.
  • Maintain accurate record keeping within construction software program.
  • Follow up on tasks assigned to internal and external stakeholders to ensure timely and accurate completion.
  • Upload and QA all drawings to ensure that drawings are dated and numbered as required, and that current drawings are maintained.
  • Upload and maintain all other project-related documents such as specifications, cut sheets, design briefs and sketches.
  • Assist Preconstruction Project Manager with procurement of consultants as required.
  • Create and maintain project directories/contact lists.
  • Assist with preparation of monthly project reports and key administrative reports.
Qualifications
Required Skills
  • Strong communication and interpersonal skills, a customer service focus and a professional demeanour.
  • A strong understanding of MS Office Suite and the ability to learn new technologies quickly.
  • Adaptable, with the aptitude to thrive in a dynamic, fast-paced environment with changing needs and priorities.
  • Highly organized and detail focused.
  • The ability to work on multiple projects concurrently.
Preferred Skills
  • Three or more years of previous administrative experience, preferably within a construction, architectural or engineering environment or similar.
  • A post‑secondary degree/diploma in business administration, construction management, information management or a related field preferred.
  • Solid understanding of Procore
