Job summary

Paladin Security in Burnaby is seeking a Portfolio Resource Coordinator (PRC) to coordinate portfolio resources and schedule support for the Client Service Team, with emphasis on proactive coverage, reducing overtime, and accurate data entry in TEAM software.

You will work with site supervisors, security officers, and management, maintain a pool of responders, manage hours and training, handle payroll and tickets, and provide regular updates on projects to scheduling leadership.

Qualifications

  • Post-secondary education in business administration or related field is an asset.
  • Understanding of Employment Standards and Human Rights Legislation.
  • Strong verbal and written communication and interpersonal skills.
  • Experience with JIRA, Ariba, ServiceNOW, and NERC CIP is an asset.

Job description

Overview

The Portfolio Resource Coordinator (PRC) is responsible for ensuring portfolio resource coordination and strategic scheduling support for their assigned Client Service Team. This is primarily achieved through proactively addressing resource needs, filling open shifts, and reducing overtime through strategic initiatives. The PRC will also provide administrative support for the portfolio, which includes ensuring accurate data entry in TEAM software, facilitating security officer training/clearance requirements, processing online ticket submissions, etc.

Location: This position is fully based in our Burnaby office.

Responsibilities


  • Strategically identify open shifts / open lines and work with the Client Service Team to ensure schedules are complete and adhere to our contractual obligations.

  • Work within a dynamic team environment with multiple operational stakeholders including Site Supervisors, Security Officers, CSMs, ASLs, Senior Management and our Operations Centre.

  • Keep a pool of First Responders within the portfolio and manage their hours, training and performance on a regular basis.

  • Fill cancellations and openings in the daily schedule that are prescribed to the PRC based on coverage type.

  • Coordinate with the Client Service Team & Team Lead to ensure staffing needs are met and proactively addressed.

  • Maintain the portfolio and team KPI's to continuously obtain maximum outcome.

  • Looking at payroll discrepancies, vacations, employee reimbursements and resolving the tickets as per the SLA without delays.

  • Mitigating the overtime incurred and coming up with potential solutions to overcome the issues.

  • Provide regular updates on ongoing projects to the scheduling manager.

  • Being proactive in assessing the portfolio needs and being top of the day-to-day operations.

  • Work to develop knowledge of Paladin's contractual obligations for the Portfolio(s) that you are assigned to. This will include site visitations, ongoing training, and a close working relationship with Paladin's management group.

  • Support and process OTRS submissions as they relate to your portfolio of sites.

  • Answering all the incoming calls coming into the department and answering the staff queries.

  • Take on a large role in Paladin's deployment process and provide updates to stakeholders as needed.

  • Work with Paladin's TEAM software to ensure accurate and timely scheduling, billing, and payroll.

  • Complete daily and weekly reports to send out to the management team.

  • Performs other duties as requested to assist with corporate and/or branch needs.



Requirements


  • Post-secondary education in business administration or related would be considered an asset.

  • Working knowledge of Employment Standards Legislation and Human Rights Legislation.

  • Excellent verbal and written communication, and strong interpersonal and leadership skills.

  • Demonstrated ability to plan, organize, problem-solve, and execute solutions.

  • Previous experience with JIRA, Ariba, Service NOW, and NERC CIP is an asset.

  • Strong computer proficiency in Microsoft Office Suite and Teams; experience working with WinTeam is preferred.
