Job summary

Harbourfront Wealth is seeking a permanent, full-time Portfolio Administrator to join its Operations team across our Canadian headquarters in Toronto, Vancouver, or Winnipeg. You will support daily operational processes, assist with onboarding, account administration, trading, transfers, and custodial activities.

The ideal candidate has 5 years of experience in investment operations within wealth management, strong analytical and communication skills, and proficiency with Excel and automation.

Qualifications

  • Demonstrated ability to identify process improvements and support workflow redesign.
  • Experience with systems implementations and team adoption.

Responsibilities

  • Supporting the Portfolio Management and Operations teams with day-to-day operational initiatives.
  • Reviewing existing workflows to identify inefficiencies, bottlenecks, and opportunities for improvement.
  • Assisting with process redesigns and documenting updated procedures and workflows.
  • Supporting the implementation of operational improvements that enhance efficiency, accuracy, and consistency.
  • Assisting with technology and systems implementations, including user testing, process mapping, documentation, and team adoption.
  • Using analytical skills to review operational data, identify trends, and support data-driven recommendations.
  • Working with systems such as NDEX and MAKO, Salesforce and other Custodian platforms to support onboarding, account administration, trading, transfers, and custodial processes.
  • Identifying opportunities to automate manual tasks and improve operational reporting using tools such as Excel and coding solutions.
  • Supporting account onboarding, investment account administration, trade processing, transfers, and related operational activities.
  • Assisting with reconciliations, data reviews, and quality checks to ensure information is accurate and complete.
  • Maintaining clear documentation of processes, controls, system changes, and operational procedures.
  • Collaborating with internal stakeholders to resolve issues and deliver sustainable operational solutions.

Career opportunity:

Harbourfront Wealth Council is seeking a permanent, full-time Portfolio Administrator to join its Operations team. This position may be based out of any of our headquarters in Toronto, Vancouver, or Winnipeg. Reporting to the Operations Manager, the successful candidate will support daily operational processes, identify opportunities for improvement, and help implement solutions that enhance efficiency, accuracy, and consistency across the business. The ideal candidate is highly organized, detail-oriented, and proactive, with strong analytical and interpersonal skills.

You will be responsible for:

  • Strong understanding of account onboarding, investment accounts, custodial processes, trading, and transfers.
  • Experience identifying process improvements and supporting workflow redesign.
  • Demonstrated ability to work with operational systems and participate in system implementations.
  • Strong analytical mindset with the ability to identify bottlenecks and recommend practical solutions.
  • Experience with Excel and automation. Coding experience would be considered an asset.
  • Strong attention to detail, organization, and problem-solving skills.
  • Undergraduate degree in Finance, Economics, Business, or a related field

Salary Range: $60,000 to $70,000 per annum (actual salary offered will be commensurate with education, experience, and internal parity).
