On behalf of our client, a prestigious wealth management firm, we are looking for an experienced Portfolio Administrator (PA) to join their Calgary team.
We seek a conscientious, thoughtful, and qualified Portfolio Administrator with a client-centric approach, an inquisitive mind, a caring disposition, and pride in understanding client priorities to deliver excellent outcomes.
The successful candidate will support a team of portfolio managers by providing administrative support and client administration.
Responsibilities
- Assist in client portfolio management, reporting, and administrative tasks, including account opening, maintenance, and clerical duties.
- Provide executive calendar support and ensure efficient organization of responsibilities.
- Interact with clients, custodians, and financial advisors to facilitate seamless communication and service.
- Open new accounts and process various client account requests, such as trades, cheques, wires, deposits, transfers, and other transactions.
- Resolve trade settlement issues in coordination with custodians and internal operations staff.
- Maintain and update the CRM system to ensure accurate client information and tracking.
- Prepare reports and relevant information for clients and portfolio managers.
- Establish and manage high-quality client files, adhering to record-keeping standards for legal, correspondence, trading, and cash activities.
- Log emails, files, documents, and correspondence to maintain accurate client records.
- Provide direct support to portfolio managers, assisting with client-related tasks and operations.
- Undertake special projects as assigned to meet organizational needs.
- Deliver exceptional client service aligned with the standards of a boutique wealth management firm.
- Ensure compliance with provincial regulations, company policies, and internal procedures applicable to client services.
Skills and Qualifications
- Minimum of 3 years of experience in the wealth or investment management industry, specifically in a similar administrative or client services role.
- Post-secondary education or equivalent experience.
- Successful completion of the Canadian Securities Course is an asset.
- Exposure to investment management or portfolio accounting systems is an asset.
- Excellent organizational, interpersonal, verbal, and written skills. Demonstrated responsiveness and problem-solving capabilities.
