As part of Caseware’s global People Operations team, the People Operations Associate plays a vital role in delivering a consistent and data-driven employee experience across global regions with focus on the Americas. We are looking for someone who is passionate about HR systems, enjoys working with data, and is eager to streamline and improve processes through technology.

You will work closely with colleagues across the globe to ensure our HR systems (including BambooHR) are maintained accurately, integrated effectively with other platforms, and optimized to support global compliance and employee lifecycle operations.

This is a full-time, permanent position.

Location: This is a hybrid role, requiring the successful candidate to work 3 days a week in our Toronto office located at 351 King Street East, Toronto, Ontario

What you’ll be doing:

  • HRIS & Data Management:
  • Maintain and update employee records in our HRIS (BambooHR), ensuring accuracy, consistency, and compliance with data protection regulations.
  • Conduct regular audits of system data and processes, flagging discrepancies and implementing corrective actions.
  • Support system updates, permissions management, and integrations with payroll, IT, and other internal platforms.
  • Partner with our Senior HR Analyst to generate reports to support decision-making and provide insights into workforce trends.
  • Operational Support & Process Optimization:
  • Execute key employee lifecycle processes (onboarding, job changes, offboarding) using HR systems and automation tools.
  • Help improve HR workflows and documentation, contributing to the development of Standard Operating Procedures (SOPs).
  • Partner with IT and Finance to ensure seamless data flow across platforms and alignment with internal controls.
  • Compliance & Document Management:
  • Support compliance with regional labor laws and Caseware policies through timely documentation and system updates.
  • Assist with the rollout and tracking of policy changes, ensuring acknowledgment through the HRIS.
  • Maintain digital employee files and ensure data handling aligns with global privacy and audit standards.
  • Employee Experience & Communication:
  • Coordinate onboarding logistics via HR systems, including system provisioning, welcome communications, and workflow triggers.
  • Act as a system-savvy point of contact for employees based in the Americas, guiding them through key processes with consistency and professionalism.
  • Collaborate with global team members to align system messaging and user experience across regions.

What you will bring:

  • 1–3 years of experience in HR operations, or a similar role (internships or co-op placements also considered).
  • Hands-on experience working with HRIS platforms (BambooHR preferred) and strong technical aptitude.
  • Comfort with Excel and reporting tools.
  • High attention to detail and commitment to data integrity and confidentiality.
  • Interest in process improvement and leveraging technology for HR efficiency.
  • Strong communication and collaboration skills, especially in a remote or global environment.
  • HR coursework, HR certification in-progress (e.g. CHRP), or related education is an asset.
