Job summary

UFA is seeking a People Experience Coordinator to support delivery of People Experience and Learning products in Calgary. The role focuses on planning, reporting, coordination, communications, and process management to ensure initiatives are delivered efficiently, adopted, and continuously improved.

You will maintain roadmaps and dashboards, coordinate launches and governance activities, and provide data-driven updates to stakeholders.

Qualifications

  • Diploma or degree in Business, HR, Admin, Communications, PM or related field preferred.
  • 1+ years in administrative, coordination, operations, HR, learning or project support roles.
  • Strong organizational and time-management skills with multiple priorities.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Experience coordinating meetings, events, projects or stakeholder activities.
  • Ability to maintain documentation, trackers, reports and presentations.
  • Comfortable working with data and summarizing information into updates.
  • Proficiency with MS 365 including Excel, PowerPoint, Teams, Outlook and SharePoint; AI experience a plus.

The People Experience Coordinator provides the operational foundation that enables effective portfolio delivery. Through planning, reporting, coordination, communications, and process management, the role helps ensure People Experience and Learning products are delivered efficiently, adopted successfully, and continuously improved.

Key Accountabilities
  • Maintain portfolio roadmaps, backlogs, project plans, and supporting documentation.
  • Coordinate product launches, initiatives, events, and implementation activities.
  • Prepare portfolio reporting, dashboards, status updates, and performance summaries.
  • Track milestones, dependencies, risks, action items, and follow-through.
  • Manage communications and stakeholder updates across portfolios and initiatives.
  • Coordinate meetings, workshops, agendas, materials, and follow-up actions.
  • Support vendor coordination, purchasing, invoicing, contracts, and logistics.
  • Maintain tools, resources, templates, knowledge repositories, and team documentation.
  • Support governance activities, planning cycles, portfolio reviews, and roadmap updates.
  • Identify opportunities to improve processes, workflows, and team effectiveness.
  • Employee Listening, Insights & Reporting
  • Coordinate employee listening activities, including surveys, focus groups, interviews, and feedback collection.
  • Support the administration of the Voice of Employee framework and employee feedback channels.
  • Compile, organize, and summarize employee feedback, trends, and insights.
  • Create dashboards, reports, presentations, and stakeholder-ready summaries that support decision-making.
  • Maintain experience metrics and reporting tools to track product health, adoption, and employee outcomes.
  • Support product teams by providing research, reporting, and data coordination for discovery and validation activities.
  • Translate employee feedback and operational data into actionable recommendations for continuous improvement.

Experience & Capabilities
  • Diploma or degree in Business, Human Resources, Administration, Communications, Project Management, or a related field is preferred.
  • 1+ years of experience in an administrative, coordination, operations, HR, learning, or project support role. New graduates with relevant internship, co-op, or practical experience may also be considered.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Experience coordinating meetings, events, projects, or stakeholder activities.
  • Ability to maintain documentation, trackers, reports, and presentations.
  • Comfortable working with data and summarizing information into clear and actionable updates.
  • Proficiency with Microsoft 365 applications, including Excel, PowerPoint, Teams, Outlook, and SharePoint. AI experience will be considered an asset.
  • Ability to follow established processes while identifying opportunities to improve efficiency and effectiveness.
  • Strong customer service and stakeholder support mindset.
  • Ability to build positive working relationships and collaborate across teams.
  • Demonstrates initiative, curiosity, and a willingness to learn and adapt in a fast-paced environment.
  • Experience supporting employee programs, learning initiatives, communications, or operational activities is an asset.
